Office Assistant III
Salary: $42,182.40 - $58,448.00 AnnuallyThe following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other related duties may be required and assigned.
- Types/word processes correspondence, reports, forms, minutes, agenda items, newsletters and other materials from recorded dictation, rough draft, or verbal instruction; maintains confidentiality of sensitive matters and information.
- Plans, coordinates and schedules clerical support activities related to program areas.
- Acts as receptionist; assists the public in person or by telephone; answers/screens telephone calls and takes messages; provides information/assistance to the public; explains and assists the public in particular departmental policies/procedures; may check in clients for appointments and schedule future appointments.
- Receives and reviews complaints and attempts to resolve them by referring to the appropriate person; prepares complaint files and/or database; may respond to complaints by correspondence or telephone.
- Maintains and updates complex computerized records and files; operates data entry equipment or computers using routines and procedures that require some interpretation and application development where general guidelines and restrictions are pre-established; verifies data on source documents; enters data, prints and prepares reports, verifies accuracy of data and report balances; performs system/program back ups and updates; may prepare and maintain computerized spreadsheets, databases, and statistical reports.
- Prepares, processes, maintains, tracks, and records various documents including purchase orders, claims, bid documents, vouchers, invoices, budget and accounting documents, service requests and other forms/documents as appropriate; verifies information and authorization required and follows established procedures, rules and regulations; file documents.
- Some positions prepare and input payroll for the assigned department(s).
- Calendars items requiring action by self or others in the department.
- Prepares or receives forms for billing or for use by clients or others in the department; assists clients in filling out forms.
- Prepares and maintains lists and summaries from data compiled and records kept; updates and maintains files, lists, rosters, and directories.
- Operates a variety of office machines and equipment such as personal or mainframe computer, adding machine or calculator, photocopier, stamp machine, labeling machine, fax, etc.; copies, sorts and collates a variety of materials as assigned.
- Collects money, posts, and prepares deposits and receipts; issues permits.
- Maintains inventory of departmental supplies and initiates requests for new or additional materials.
- Acts as backup to other clerical staff in their absence.
- Receives, opens, sorts and distributes incoming/outgoing mail and other materials according to readily identifiable department codes or instructions.
- May make deliveries to other county offices or events.
Education and Experience: At least three years of general clerical experience; some vocational classes related to business administration or clerical/secretarial skills desirable; or any equivalent combination of training or experience which provides the required skills, knowledge and abilities.Essential Duties require the following physical skills and work requirements:
Requires the ability to maintain mental capacity which allows the capability of exercising sound judgment and rational thinking under varied circumstances; exert a small amount of physical effort in sedentary to light work involving moving from one area of the office to another; some positions require sufficient hand/eye coordination to perform semi-skilled repetitive movements, such as typing, filing, data entry, shorthand, and/or use of calculators, ten-key adding machine, or other office equipment or supplies; ability to operate a motor vehicle.
License and/or Certificate: May require the possession and maintenance of a Valid California Driver's License.
