The Business Resource Specialist II performs administrative and clerical functions for assigned Divisions. This position provides administrative support for Division Directors, Office Chiefs, and staff members in the assigned Divisions.
Job Duties Include:
· Perform requested administrative and clerical duties for Divisions.
· Coordinate documents required for monthly Governing Board meeting including, proofing and editing materials, tracking timeframes, formatting and distributing Board materials, and submitting for inclusion in Governing Board material.
· Assist and support Executive Office and Governing Board Coordinator with governing board meetings, committee meetings, and workshops, as needed.
· Serve as back-up for receptionist duties for breaks and as needed when receptionist is out of the office.
· Receives calls, inquiries and other communications from staff and the public and provides information or routes calls/inquiries to appropriate personnel for action or follow-up.
· Composes and tracks basic correspondence, memoranda, technical documents and other documents for staff signature.
· Coordinate and organize meetings, events, teleconferences, and workshops on or off site while ensuring consistency with the District’s web calendar; coordinate documents or handouts, set-up and take down food and supplies.
· Process invoices and payment requests; obtain required approval and supporting documentation; input into accounting software
· Maintain purchasing cards issued to the Divisions, ensure proper documentation and receipts, complete spreadsheet for account codes, and upload documents into accounting software.
· Assist with purchasing and procurement for the Division including making purchases, ensuring proper documentation, reconciling statements, and entering information into accounting software.
· Assist with the development and/or update to District forms
· Assist with preparing small standard contracts, task work assignments, work orders, and other forms.
· Assist in the preparation of purchase requisitions by ensuring back-up documentation and approvals are in place.
· Assist staff with travel arrangements, including travel authorization requests and reimbursements, lodging, transportation, registration, and other travel matters.
· Assist in amending, extending, or closing out contracts.
· Review and edit, ITB, RFP, and RFQ’s.
· Develop sign-in sheets for bid openings and assist with scheduling selection committee meeting to review results.
· Coordinate with Records Management on the filing and retrieval of Division information and documents.
· Assist with onboarding new hires; receive District property from departing employees.
· Distribute incoming mail to divisional staff; schedule UPS and Fed-Ex pick-ups.
· Perform other duties as assigned.
Minimum Qualifications:
- High School diploma or equivalent.
· Minimum of three (3) years’ administrative experience.
· Proficient computer skills in word processing, spreadsheet development, PDF and forms creation.
· Valid drivers’ license.
Base Salary: Pay Grade 107 ($35,152 - $52,728) Starting salary commensurate with selected candidate's competencies and qualifications.
