We're currently seeking a proactive, highly organized, and detail-oriented Administrative Assistant to support our team and ensure the smooth functioning of our day-to-day operations.
Position Overview:
As an Administrative Assistant, you will be responsible for performing a wide range of administrative duties, including managing office supplies, handling correspondence, and providing support to various departments. You will play a key role in helping maintain an efficient and well-organized office environment. You will also serve as a main point of contact for internal and external stakeholders for The Innovation Post - a multi-tenant office building that SVN Ascension manages.
Key Responsibilities:
- Answer and direct phone calls, emails, and other forms of communication.
- Manage and maintain office supplies, ensuring adequate stock levels and timely replenishment.
- Act as a liaison between management, staff, and external contacts.
- Assist with document preparation, including reports, presentations, and forms.
- Provide general administrative support to team members and leadership.
- Assist with data entry and database management as needed.
- Assist with personal tasks and projects as requested by the finance department.
- Assist in monthly/quarterly financial closing processes.
- Organize and maintain files, ensuring information is readily accessible and well-organized.
- Support special projects and other tasks as assigned.
- Ensure confidentiality and handle sensitive information with discretion.
Qualifications:
- Bachelor's degree or equivalent experience preferred.
- 3 years of experience as an administrative assistant or in a similar administrative role.
- Exceptional organizational and time management skills with the ability to multitask in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- High level of discretion and ability to maintain confidentiality.
- Proficiency in Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and take initiative.
- A positive, proactive attitude with a customer service mindset.
