Job Summary
The Administrative Assistant is the Ambassador of First Impressions and maintains a positive office environment. This role is responsible for handling inbound phone calls and office visits, keeping the office space clean and welcoming, and supporting both internal and external SW teams.
Duties
- Greet visitors and guests, inform staff of their arrival
- Maintain front desk, kitchen, and lobby areas in a tidy and presentable condition
- Answer incoming calls, monitor voicemail, and update schedules
- Schedule conference rooms and meetings, arrange lunch/breakfast orders, and set up/clean up meeting spaces
- Coordinate domestic and international travel arrangements
- Create hotel resources at external customer sites
- Support training sessions with customers and employees, including catering efforts
- Manage lead information in CRM, support marketing efforts, and assist HR with new employee onboarding
- Receive, sort, and distribute mail and packages
- Track office supplies and restock as needed
- Support seasonal activities, such as holiday cards and decorating
Requirements
- Detail-oriented with strong multitasking skills
- Professional customer experience over the phone and in person
- Cheerful, pleasant demeanor
- Experience scheduling and coordinating travel required
- Computer proficiency in Microsoft Office and Concur Expense Reporting
- Excellent communication and organizational skills
- Ability to read, write, and speak English; German speaking ability preferred but not required
- Clean driving record for occasional company vehicle use
