Swamp Fox Agency CSR / Account Manager Position (Personal Lines)
Overview: Swamp Fox Insurance Agency has been providing personalized insurance solutions since 1987. We are seeking a Customer Service Representative/Account Manager (Personal Lines) to join our team and play a key role in maintaining and growing our portfolio of personal lines accounts.
Position Overview: The Account Manager acts as a main point of contact to companies in reference to new and renewal business and provides accurate correspondence to obtain quotes. The account manager has direct Customer and company contact which makes licensing critical. The agency will plan ongoing professional training that improves the account manager’s ability to meet the growing needs of our customers.
This is an in-office position. The workweek consists of Monday through Friday from 8:00 AM to 5:00 PM.
Key Responsibilities:
- Client Communication: Serve as the main point of contact for clients and insurance companies, ensuring clear communication regarding new business, renewals, and claims.
- Customer Support: Provide excellent customer service by addressing client inquiries and resolving any issues regarding policies, coverage, and renewals.
- Documentation & Processing: Process certificates of insurance for new business and renewals, and handle policy changes and endorsements promptly.
- File Management: Maintain and organize client files, scanning and uploading all relevant documents into the agency's management system for accuracy and accessibility.

Required Skills & Qualifications:
- Customer Service Excellence: Proven ability to provide high-quality customer service, address client concerns efficiently and maintain strong client relationships.
- Attention to Detail: Strong organizational skills with the ability to manage multiple tasks while ensuring accuracy in client documentation.
- Communication Skills: Excellent verbal and written communication skills, capable of engaging with clients, underwriters, and team members effectively.
- Insurance Knowledge: Experience in or willingness to learn about personal lines insurance products and industry regulations.
- License: Property & Casualty (P&C) license is preferred or the ability to obtain it within a set timeframe.
- Technology Proficiency: Comfortable using agency management systems and proficient in Microsoft Office products.
- Team Player: Ability to collaborate with Producers and other team members to ensure client needs are met.
Duties:
The following are duties performed by the account manager. The account manager is to fulfill the duties to the best of their ability and ask for assistance when needed to further their knowledge and capabilities.
- Maintain renewal business for their assigned list of accounts including but not limited to sending out renewal schedules, ordering loss runs and MVR’s, submitting to companies, reviewing quotes for accuracy and compiling data in reference to the expiring policy versus the renewal policy for Producer’s review.
- Compile submissions for new business and submit to company.
- Work closely with the Producer on file to present accurate information to the companies and insured.
- Provide customer service to the insured.
- Relay information from the Producer or Insured to the company underwriters.
- Process certificate of insurance for new business and renewals.
- Document and process (bill) change request and endorsements.
- Organize and maintain customer files. This includes scanning and providing accurate detailed files in Operating system.
Tasks:
Each day should consist of certain task to process and maintain client files.
- Attend to phone calls/inquiries in reference to accounts.
- Follow expiration reports and work on renewals accordingly.
- Submit to companies and follow up on outstanding quotes.
- Compile renewal information to present to Producer.
- Bind accounts. This includes preparing and forwarding applications to the insured for signatures if needed to bind, generate finance agreements, forward request to company to bind.
- Prepare submissions for new business.
- Enter new and renewal client detail in agency management system along with carrier information and effective and expiration dates.
- Scan and attach all pertinent information in agency management system. Enter limits and schedule information into system to provide accurate information to the CSR at binding.
- Respond to emails in a timely manner.
Professional Development & Education:
Professional Development and Education involves knowledge of the product and regulations.
- Attend sponsored webinars.
- Attend in house training sessions.
- Meet License and CE Requirements.
- Proficient with the operating system.
- Cross train to gain the knowledge required to act as a backup or assist as needed.
Service Delivery Time Frames:
- Begin working renewals 60 - 90 days in advance. Pre-Renewal market selection meetings with Producer are to be held monthly in person.
- Have renewal quotes in and available to be sold 30 days in advance.
