Description
The Executive Assistant & Bookkeeper will manage daily accounting functions for multiple entities while providing high-level administrative support to the CFO. This dual-role requires a proactive individual with a strong background in bookkeeping, along with excellent organizational and communication skills.
Responsibilities:
Executive Assistance:
- Manage the CFO's calendar, scheduling meetings and coordinating logistics.
- Prepare reports, presentations, and correspondence for board meetings and executive discussions.
- Serve as a liaison between the CFO and other departments, maintaining effective communication.
- Handle sensitive information with discretion and confidentiality.
Accounting and Bookkeeping:
- Oversee the accounting books for multiple entities, including accounts receivable and payable for residential and commercial properties.
- Prepare monthly, quarterly, and annual financial statements for submission to lenders and investors.
- Conduct bank reconciliations.
- Review general ledger balances and prepare necessary journal entries.
- Assist in year-end financial reporting for external CPA and tax preparation.
Qualifications:
- Education: Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Experience: 5 years of accounting/bookkeeping experience preferred.
- Skills:
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational skills with a detail-oriented approach to work.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Physical Demands:
