Job Type Full-time Description
As a Warranty Administrator , you will be responsible for processing, submitting, and tracking warranty claims to ensure timely reimbursement from manufacturers and third-party warranty providers.
This role requires a thorough understanding of warranty policies, excellent organizational skills, and the ability to work closely with the service department to ensure proper documentation and claim accuracy.
The ideal candidate will have prior experience in warranty administration within the automotive industry.
Responsibilities :
- Process Warranty Claims : Submit and track warranty claims with manufacturers and third-party providers.
- Establish an effective cost control policy and requirements. Manage cost control and dealer reviews and zone warranty audits.
- Manage yearly warranty rate increases across multiple manufacturer lines both parts and labor.
- Manage the warranty parts return and disposition system for each manufacturer and support the parts managers in this process.
- Documentation : Ensure all required paperwork for claims is accurate and complete.
- Communication : Serve as the point of contact between the dealership, manufacturers, and warranty providers to resolve claim issues.
- Auditing & Reporting : Assist with warranty audits and generate reports on claim status and reimbursement trends. Manage warranty submission metrics, such as claim submission time, cost per vin, and damage code use.
- Training & Support : Train and guide service staff on warranty documentation and procedures.
- Oversee the development of performance plans for stores that are not meeting expectations
- Other duties as assigned.
Qualifications :
- Demonstrates a high HQ (Hospitality Quotient) consisting of kindness & optimism, intellectual curiosity, work ethic, empathy, self-awareness, and integrity
- Education : High school diploma or equivalent required; some college or technical training preferred. BA / BS is a plus.
- Experience : Minimum of 2-3 years of experience in automotive warranty administration or related roles. Prior warranty administration experience is required.
Supervisory experience is a plus.
- Skills :
- Strong understanding of manufacturer warranty policies and procedures.
- Excellent attention to detail and ability to organize and track multiple claims.
- Proficiency in dealership management systems (e.g., CDK, Reynolds & Reynolds) and Microsoft Office.
- Effective communication and problem-solving skills for interacting with service staff and manufacturers.
Preferred Qualities :
- Experience working in a dealership environment.
- Knowledge of automotive parts and service processes.
- Ability to handle large volumes of claims while ensuring accuracy and compliance.
Physical Requirements :
- Sitting : The majority of the workday is spent sitting at a desk, using a computer and phone.
- Standing and Walking : There may be times when the warranty administrator needs to stand, walk around the dealership, or attend meetings.
- Reaching and Bending : The administrator may need to reach for files, supplies, or equipment.
- Lifting : Occasionally, there might be a need to lift or move documents, supplies, or equipment. Ability to lift up to 20 pounds.
