The Executive Assistant III will play a pivotal role as a strategic partner to the President and will provide comprehensive executive support to the entire leadership team. The Executive Assistant III will act as a key liaison, independently managing complex projects, coordinating high-profile events, and ensuring seamless information flow.
Key Responsibilities
- Provide comprehensive, high-level support to the President and the entire leadership team, anticipating needs and proactively addressing challenges
- Independently initiate and manage projects, ensuring timely and successful completion
- Develop and implement efficient processes to streamline executive operations
- Expertly manage the President’s complex calendar, prioritizing sensitive matters, and ensuring efficient scheduling
- Coordinate all aspects of meetings, including agenda preparation, logistics, and follow-up actions
- Serve as a strategic gatekeeper and facilitator for direct access to the President and their office
- Directly manage the performance and professional development of direct report, providing mentorship, guidance, and fostering a collaborative and high-performing team environment
- Draft and edit professional communications, including emails, memos, and reports on behalf of the President, while managing confidential information with utmost discretion
- Arrange complex travel itineraries and coordinate events, ensuring seamless execution and attention to detail
- Effectively prioritize conflicting needs, handle urgent matters with expediency, and proactively solve problems under pressure
Qualifications
- Associates degree in Business Administration or a related field
- 4 years of progressive experience supporting C-level executives, with a demonstrated ability to manage multiple executive relationships
- Proven leadership experience, with a track record of successfully managing and developing direct reports
- Proven track record of successfully planning and executing large-scale events, conferences, and meetings
- Experience with advanced features of calendar management tools (e.g., scheduling assistants, resource management)
- Exceptional organizational, time management, and problem-solving skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and exercise sound judgment
- Demonstrated ability to build and maintain strong relationships with all levels of an organization
- Exceptional capacity to work independently and as a team player
Preferred Qualifications
- Bachelors degree in Business Administration or a related field
- 7 years of progressive experience supporting C-level executives, with a demonstrated ability to manage multiple executive relationships
- Familiarity with and proficiency in using travel booking and expense management software
- Ability to manage budgets, process invoices, and handle expense reports with accuracy
- Knowledge of board meeting procedures and experience preparing board meeting materials
