Swiss Post Solutions (SPS) is a global outsourcing organization that offers both business and document processing services. We are currently looking for an Client Services Manager This is a full-time position with standard business hours (Monday through Friday).
Job Description
- Manages the daily operations of the office services, reception, and hospitality team.
- Maintain inventory control and order supplies as needed.
- Responsible for hiring, training, and continued development in each department.
- Approves and maintains employee time logs.
- Responsible for all monthly reporting, trackers, volume logs, etc.
- Provide excellent client service as the first point of contact with the client.
- Communicate with and maintain vendor relationships.
- Process and produce print/copy orders as requested.
- Operate binding and other auxiliary equipment.
- Duties include printing, photocopying, scanning, copying documents to removable media, working with PDF, .JPG and .TIF formats, network shared folders, faxing, mail distribution, file room maintenance.
- Maintain postage, postage machine supplies and assist with preparation and delivery of certified mail and UPS, DHL, and FedEx packages.
- Perform all phases of equipment set-up, operation and routine maintenance.
- Maintain equipment and supplies, to include cleaning and repairing.
- Provide customer service, including problem solving to satisfy those needs with a minimum amount of supervision.
- Manage conference room set-up and clean-up, front desk coverage of phones at reception desk, and maintain cleanliness of kitchen facilities.
- Must be able to lift/move items weighing up to 50 lbs., such as storage boxes, computer equipment, etc. and for delivery/refilling of paper for copy machines throughout the office.
- May be required to assist with light office moves, picture hanging and file cabinet organization.
- Must be willing to train on light troubleshooting of computer hardware and network plug-in procedures. Local pick-up and delivery of packages is also a part of the position.
Qualifications
- Exceptional customer service skills
- Excellent oral and written communication skills as well as presentation skills to interface with all levels of management, associates, and vendors
- Outstanding organizational skills, with the ability to prioritize tasks and keep work areas clean and well stocked
- Ability to apply complex problem solving skills to achieve solutions
- Management experience in office services in a law office or equivalent professional environment where legal documents are copied and scanned is required.
- Candidates with a background working in a law office are preferred.
- High school diploma or equivalent education.
- Prior experience of Law and Adobe pre-print applications very helpful.
- For new hires, must meet all Swiss Post Solution employment qualifications.
