JOB SUMMARY :

Situated within the Southwestern Oklahoma State University (SWOSU) Office of Institutional Advancement (OIA) and reporting to the Director of Advancement Operations with significant direction from the Director of Development & Engagement, the SWOSU Assistant Director for Information & Administration is directly responsible for a variety of functions and services related to the OIA.

JOB DESCRIPTION :

The Assistant Director carries out a wide variety of functions within the OIA related to :

  • Database administration, including but not limited to : The formulation and maintenance of Advancement datasets and the erection and sustainment of a system of data hygiene and integrity.The updating, integration, importing, uploading, and securing of non-Advancement datasets of varied origin, size, and type.The maintenance of constituent data including but not limited to mailing and / or physical addresses, e-mail addresses, and social media accounts.The accurate tagging, cataloguing, and indexing of Advancement and non-Advancement datasets of varied type and origin.The accessing, modifying as necessary, securing, and distribution as directed of information from databases owned by the SWOSU Foundation, Inc.—said databases include but are not limited to Financial Edge NXT and Little Green Light.The production of customized lists and datasets as needed for Advancement efforts, events, projects, daily operations, and functions; and,Other database administration duties as assigned.
  • Maintenance and modification as needed of the website for the SWOSU Foundation, Inc. and its subsidiaries.
  • Maintenance and management of internet and / or software tools and services including but not limited to domains and vanity URLs; MailChimp; Thankview; ODDER; Jotform; and GiveButter.
  • Reporting on a regular and as needed basis of information related to the work of the OIA including but not limited to internal reporting on development and engagement and team performance as well as external reporting on fund valuations, gift impact, and other reporting as needed; and,
  • Cooperation with SWOSU to ensure the proper archiving of SWOSU Foundation, Inc. information with SWOSU.

The Assistant Director notifies the SWOSU President or the SWOSU Vice President for Human Resources of any potentially dangerous equipment, practices, or violations of safety procedures; further, the Assistant Director promotes to all SWOSU employees the importance of personal safety, adherence to safety procedures, and the paramount importance of a safe workplace and work environment.

The Assistant Director may be required to be available to assist with emergency situations during and / or after business hours in-person and / or by telephone / and / or by e-mail and / or by remote communication software.

TERMS OF EMPLOYMENT :

  • Reports to the Vice President for Institutional Advancement & Chief of Staff to the President
  • Twelve-month status
  • Salary to be established by SWOSU’s grant-funded relationship with the SWOSU Foundation, inc.

    Education and Experience

    EDUCATION & EXPERIENCE

  • Successful completion of a bachelor’s degree is required.
  • Previous experience and demonstrated success in learning, operating, and sustaining complex systems of organization, operation, and technical functionality.
  • Previous experience and demonstrated proficiency in professionally, accountably, and courteously working with and alongside multiple personnel carrying out diverse functions is preferred.
  • Excellent written, oral, grammatical, and interpersonal communication skills are required.
  • Such alternatives to the above qualifications as the Vice President for Institutional Advancement or his / her designee may find appropriate.
  • Anticipated Start Date 2 / 3 / 2025
