Dispatch Assistant
Job Description:
To perform duties as listed below in a timely and efficient manner. Provide support to dispatch team to aid in meeting monthly service goals.
Responsibilities:
Include but not limited to:
- Answer inbound inquiries regarding company policies, procedures, and products.
- Accurately enter freight loads into a load management system to be dispatched.
- Enter orders into an accounting system.
- Schedule appointments for deliveries to meet customer requirements.
- Check shipping and receiving hours, along with contact info and scheduling processes for all trip locations.
- Dispatch loads to drivers.
- Determine best routes for drivers
- Answer questions from drivers regarding load information. Look up phone numbers or find on the internet.
- Answer incoming calls and emails and forward as necessary.
- Answer overflow phone calls from dispatch and customer service.
- Prepare documents and spreadsheets.
- Data entry.
- Provide administrative support to executive staff.

- Strong analytical skills with high attention to detail, accuracy, and organization, as well as, excellent verbal, written, and time management skill
- Willingness to help in other areas as necessary.
- Ability to multitask and to keep calm under pressure.
- Willingness to be flexible with duties and able to prioritize tasks at hand.
- Ability to initiate phone calls to customers and drivers when needed.
- Strong interpersonal, communication and relational skills; strong verbal communication skills; demonstrated ability to function in a collaborative and collegial environment, and to interact effectively with diverse staff at all levels of the organization.
- Ability to work independently with minimal supervision.
- Good judgment, flexibility, and patience; discretion in dealing with confidential and sensitive matters.
- Basic knowledge about the trucking industry helpful.
- Basic knowledge of accounting.
Qualifications:
- Education: Associates Degree
- Administration experience preferred. Customer service experience helpful.
- Highly proficient in the use of MS Outlook, Word, Excel, and QuickBooks and the ability to quickly learn new technologies and software as needed.
- Excellent history of employment attendance.
