JOB TITLE: Administrative Assistant and Program Advisor
DIVISION: Learning Center
REPORTS TO: Center Director/Education Director
Wages/Schedule: Wages: $25/ hour
- Schedule: 4-5 days, 12:00pm- 7:00pm/8:00pm

GENERAL SUMMARY
The Administrative Assistant Program Advisor is responsible for leading the day-to-day administrative tasks in the Center such as phone reception, word processing, data entry, filing, and other administrative tasks. The Program Advisor provides a positive first impression for potential and existing customers, fields calls from customers, schedules appointments along with working alongside the Center Director and Director of Education.
ESSENTIAL JOB FUNCTIONS
- Leads day-to-day administrative tasks such as timely and high quality phone reception, word processing, data entry and filing
- Greets and assists students, parents, and potential customers according to Sylvan standards
- Fields inquiry calls from potential customers
- Fields calls from current families
- Monitors email daily and respond to current families, new web leads, and proctoring
- Schedules assessments, tours, Welcome Conferences and proctoring appointments; collect payment for appointments that require payments
- Manages scheduling changes of current families
- Prepares materials and reports for parent conferences, assessments, tours, and other customer appointments as needed to assist the Center Directors
- Administers initial assessments with students and welcome conferences for first time families
- Proctors exams
- Attend weekly meetings with the Center Directors to discuss center growth
- Checks the mail and forward to the correct department
- Responsible for monthly billing ensuring all payments have been accepted and programed in the system correctly
- Assists Center Directors in maintaining the professional appearance of the Center according to Sylvan standards
- In charge of center inventory; prepare an inventory list to be approved by Director
- Communicate to parents regularly regarding center closures, events, news and general messages
- Updates our current families information to ensure contact information is up to date
- Reaches out to potential job candidates who have applied for open positions at the center; pre-screen and schedule interviews
- Supports standards and procedures to ensure student safety and well-being
- Works alongside the Director of Education and Center Director to maintain smooth center operations
- Responsible for decorating to honour different celebrations over the year
KNOWLEDGE REQUIRED
- Associates or four-year degree preferred
- A minimum of three years of customer service experience
- Experience using full google suite such as google sheets and other standard business applications (Microsoft applications)
- Knowledge of general office equipment such as copiers, printers, and office phones
SKILLS AND ABILITIES REQUIRED
- Strong customer service, interpersonal and communication skills
- Strong word processing, data entry, and other administrative skills
- Proven ability to effectively use consultative sales skills when serving customers
- Proven ability to communicate effectively in writing; Ability to proofread and edit copy
- Strong organizational skills; Proven ability to manage multiple tasks and be flexible
- Ability to occasionally lift and/or move up to ten pounds
