Description of Position:
Under the direction of the Supervisor of Fiscal Services, maintains the accounting functions of purchasing, accounts receivable and accounts payable to provide the ongoing educational philosophy of the district.

Major Duties and Responsibilities:
1. Receives and processes requisitions for materials, supplies, equipment and services from all district sites.
2. Verifies purchase orders for accuracy and conformance with district policies.
3. Assigns appropriate purchase order numbers.
4. Encumbers purchase orders into the computer accounting system.
5. Follows up on all open purchase orders.
6. Verifies receipt of materials and equipment prior to payment of invoices. Verifies services are complete prior to payment of invoices.
7. Matches invoices to purchase orders.
8. Prepares invoices for payment and enters payment into the computer accounting system.
9. Verifies accuracy of checks prior to mailing.
10. Processes Revolving Fund checks.
11. Balances Revolving Fund checking account to bank statement and to the District’s general ledger.
12. Prepares 1099 information in coordination with the County Office of Education.
13. Prepares monthly sales tax reports.
14. Receives, verifies and deposits money collected at all district sites.
15. Prepares invoices for all services provided.
16. Follows up on outstanding invoices.
17. Prepares and processes intradistrict transfers for warehouse orders, printing, and transportation.
18. Prepares receivables and current liabilities at year-end.
19. Assists in all other aspects of the fiscal year closing of accounts.
20. Provides guidance to district employees in the procedures for generating requisitions and receipt of money.
21. Prepares related accounting and financial reports.
22. Confers with other employees and vendors relative to special needs or problems related to accounting.
23. Assists with the preparation of the budget and financial reports.
24. Does related work as required.
Minimum Experience and Job Requirements:
1. Vision acuity sufficient to read, write and work with printed information as well as information on a computer terminal.
2. Auditory acuity sufficient to effectively understand information from others in person and over the telephone.
3. Ability to speak clearly with the ability to be heard and understood on the telephone and in work site conversations.
4. Ability to sit for extended periods at a desk, conference table or in meeting rooms; frequently stand and walk; bend, stoop and reach overhead; normal manual dexterity and eye-hand coordination; physical agility to lift and move up to 25 pounds; see and read a computer screen, and printed matter with or without visual aids.
5. Ability to use office equipment including computer terminals, telephones, calculators, copiers and fax machines.
6. Three years of responsible accounting experience, preferably in a school district office.
7. Knowledge of school purchasing and accounting practices.
8. Knowledge of computer accounting systems and software such as Microsoft Excel and Word.
9. Ability to make arithmetic computations rapidly and accurately.
10. Ability to prepare and maintain accurate and complete records.
Education Requirements:
High school diploma or equivalent and additional training in school business and/or accounting procedures.
