About the Role

Position Summary:

The Logistics Administrator / Coordinator ensures that products are shipped accurately and timely as per customer orders. This role controls pertinent shipping activities through portals and 3PL websites. They will also coordinate related activities with Planning, Production, QC, and Customer Service. This role will be key in helping streamline processes and help improve / create SOPs.

Note: This is a hybrid role that will work 3-4 days on site at the Teterboro office and 1-2 days remotely. Will have to work fully on site for the first 3 months or so for training but will follow the hybrid schedule thereafter.

Duties and Responsibilities:

  • Facilitates the entire shipping process. This includes VL10 Functions, maintaining all pertinent paperwork and handling of traffic coordination.
  • Runs VL10 report and research / expedites accordingly. Includes significant interaction with other departments when needed.
  • When needed will attend supply chain meetings pertinent to on-time shipping and order issues if GL and Supervisor are unavailable.
  • Schedule's shipments using assigned 3PL portals, also will input ASN's, RTS and other related tasks
  • Reviews routing to ensure that all shipments are picked up on time and by the carrier assigned.
  • Budget adherence/ monitoring according to the business needs
  • Accurate invoicing of logistical costs to the correct department.
  • Support in assisting in creating or improving SOP processes as identified.
  • Work with cross-functional teams to gather input and ensure comprehensive scenario planning.
  • Coordinate with other departments to implement strategies based on scenario outcomes.

About You

Required Qualifications:

  • High School Diploma / GED is required. College degree is preferred.
  • 2 years of experience in logistics planning and transportation required.
  • 1 years of inbound and outbound supply chain experience required.
  • Must have experience using an ERP system (running reports, entering information, etc.). Experience with SAP is strongly preferred.
  • Proficiency with Microsoft Office software (Word, Excel, Outlook, etc.).
  • Must be a self-motivated individual with excellent written and verbal communication skills as well as strong interpersonal skills for effective collaboration with cross-functional teams.
  • Strong analytical and problem-solving skills are critical.
  • A financial background or experience (i.e. AP / AR, billing and invoicing, etc.) is desired.
  • Must have a strong sense of urgency in meeting deadlines.
  • Ability to interpret complex data and make data-driven decisions.
  • Ability to think critically and strategically about potential business scenarios.
  • Must have a commitment to continuous learning and improvement in scenario planning techniques.
  • Strong organizational skills and attention to detail are essential.
  • Solid project management skills.
  • Ability to manage multiple tasks and projects simultaneously.
  • Experience with financial analysis and budgeting is an advantage.
