The Payroll Administrator is responsible for managing the organization's multistate payroll process, ensuring accurate and timely payroll processing, compliance with regulations, maintaining employee records, and assisting in the daily routines of the company's HR Department. This role requires attention to detail, strong organizational skills, and the ability to work collaboratively with other departments.

Essential Functions

Payroll Processing :

  • Process payrolls for all employees on a bi-weekly basis.
  • Ensure accuracy of hours worked, overtime, and deductions.
  • Maintain payroll records and ensure compliance with legal requirements.
  • Register for new state payroll taxes.

401(k) Administration

  • Oversee 401(k) plan processing, including employee enrollment, contributions, and deductions
  • Ensure compliance with ERISA, IRS, and Department of Labor regulations related to retirement plans.
  • Assist employees with 401(k) inquiries and educate them about plan options.
  • Data Management :

  • Update and maintain employee information in payroll systems, including new hires, terminations, and changes in pay or status.
  • Prepare and manage reports related to payroll, tax, and benefits.
  • Compliance :

  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Assist in audits related to payroll and employee records.
  • Communication :

  • Serve as the point of contact for employee inquiries regarding payroll, benefits, and deductions.
  • Collaborate with HR and Finance departments to ensure accurate reporting and record-keeping.
  • Process Improvement :

  • Identify opportunities for process improvements and automation in payroll operations.
  • Assist in implementing new payroll systems or updating existing systems.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.

    Required Education and Experience :

  • A bachelor's degree in accounting, finance, business administration, or a related field is preferred.
  • Proven experience in payroll processing and administration.
  • Strong knowledge of payroll software (e.g., ADP Workforce Now preferred) and Microsoft Excel.
  • Familiarity with federal and state labor laws and regulations.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Military service will be considered in lieu of education / certification experience as applicable.
