Position Overview:
I am seeking a highly organized, dependable, and personable individual to manage my psychiatric nurse practitioner practice's front desk and administrative tasks. This role is vital to ensuring the practice operates efficiently and that clients feel welcomed and supported from their initial contact.
The ideal candidate will thrive in a detail-oriented environment, demonstrate exceptional organizational skills, and work independently with precision and efficiency.
The position offers a flexible work environment, with the potential for some administrative tasks to be completed remotely after a successful three-month onboarding period. This flexibility is designed to balance in-office requirements and remote opportunities, ensuring both productivity and adaptability.
Responsibilities
- Client Support: Greet clients warmly (in-person or virtually) and create a positive first impression. Answer phone calls and emails promptly, addressing inquiries with professionalism and confidentiality.
- Scheduling & Coordination: Schedule appointments, send reminders, and manage follow-ups using our practice management software (e.g., Valant).
- Administrative Duties: Assist with data entry, insurance verifications, and maintaining accurate client records in compliance with HIPAA guidelines.
- Billing Assistance: Generate and send invoices, process payments, and handle basic billing inquiries.
- Office Management: Monitor office supplies and ensure the workspace remains organized and client-ready
- Support the practice owner: with occasional special projects, such as updating procedures or creating manuals.
Experience
- Previous experience in medical front desk operations and medical administrative tasks is required, including scheduling, billing, and maintaining accurate patient records.
- Strong organizational and time-management skills.
- Exceptional communication and interpersonal skills with a client-focused approach.
- Experience handling sensitive information while adhering to HIPAA guidelines is essential.
- Proficiency in using practice management software (Valant) or willingness to learn (training provided).
- Must be a self-starter with the ability to work independently and take initiative.
