Major Responsibilities
- Executive Reception: Greet executives, visitors, and staff with warmth and professionalism; manage incoming calls, emails, and inquiries with discretion and efficiency, routing them as needed.
- Concierge Services: Act as a concierge for the executive team, coordinating daily lunch catering, setting up meeting spaces, and ensuring a welcoming experience for staff and guests.
- Office Administration: Maintain an impeccable reception area and office environment; oversee supply orders, manage mail and deliveries, and ensure office equipment operates smoothly.
- Shipping & Receiving: Assist with high-volume package handling, including sorting, stuffing, and posting outgoing mail daily, serving as a backup for logistics tasks.
- Event Coordination: Support the planning and execution of executive meetings, client visits, and internal events, arranging catering, room setups, and other details with precision.
- Team Collaboration: Partner with HR, accounting, and other departments on ad-hoc projects, leveraging cross-functional skills to enhance office efficiency.
Minimum Qualifications
- Experience: Minimum of 2 years as a receptionist, administrative assistant, or similar role, with direct experience supporting executives. Background in hospitality (e.g., luxury hotels, fine dining) and customer service is strongly preferred. Exposure to HR, accounting, or payroll tasks is a plus.
- Skills:
- Superior verbal and written communication skills, with a professional and articulate demeanor.
- Exceptional organizational and multitasking abilities, adept at managing competing priorities.
- Proficiency in Microsoft Office Suite required; familiarity with HR or accounting software preferred.
- Discreet, polished phone etiquette and a client-centric approach.
- Personal Attributes: Poised, approachable, and meticulous, with a proactive problem-solving mindset. Comfortable handling confidential information with the utmost integrity.
- Education: High school diploma or equivalent required; an associate or bachelor's degree in business, hospitality, or a related field is a plus.
