We are seeking a proactive, adaptable multitasker who thrives in a fast-paced environment and can work independently with minimal supervision. This role reports to senior leaders within the Content organization, requiring the ability to shift priorities quickly and collaborate effectively with various team members as needed.
Candidates must be fluent in Spanish, as this skill is essential for communication within the role. The ideal candidate is comfortable in an agile environment, adept at handling the demands of a busy office, and possesses proven experience navigating the complexities of a large organization. Strong teamwork and exceptional attention to detail are crucial for success. Candidates should be able to commute to the office, particularly on days when most of the team is present (usually Tuesdays and Wednesdays).
About the Role:
- Proactively manage Executives’ calendars, scheduling complex internal and external meetings (involving senior executives, international team members, or key stakeholders such as top agents and production companies) while considering global time zones to ensure meetings are set at reasonable times.
- Collaborate closely with other coordinators and executive assistants to coordinate meetings involving senior management.
- Diligently submit and track monthly expenses (personal and corporate, including mobile phone bills and both domestic and international travel) in a timely manner.
- Provide relationship management support, including follow-up communications, data entry, and other related tasks.
- Identify administrative needs within the organization and initiate or assist with projects to address those needs.
- Perform additional administrative support duties, such as visitor registration and parking coordination, as needed.
- Organize large internal team meetings and events (e.g., All Hands meetings, brainstorming sessions, presentations, training sessions, and community outreach events).

- Familiarity with Outlook and the Microsoft Office Suite, particularly Word and Excel.
