Billing Analyst
Essential Functions:
- Set up and maintain client master data, accounting calendars, and payment association rules.
- Create new clients and projects within the accounting system.
- Manage contracts by monitoring and analyzing key terms, addendums, and purchase orders.
- Complete project status updates, including locking, reconciling, and closing projects in a timely manner.
- Review submitted request forms for accuracy and completeness.
- Track contract terms and retainers to ensure compliance with client agreements.
- Maintain accurate and timely client billing, including preparation of supporting documentation per provided guidelines.
- Ensure prompt and organized data and invoice management.
- Apply a solid understanding of billing concepts and practices in daily work.
- Generate client-related reports as needed.
- Develop deep knowledge of assigned clients, including billing rules, reports, AR status, and client dictionaries.
- Assist with resolving remittance discrepancies.
- Create and maintain processes to track retainer requirements and receipts.
- Maintain logs of client requests and outstanding deliverables.
- Collaborate closely with Branch and Project Managers in a team-based environment.
- Communicate proactively with clients and internal stakeholders.
- Produce weekly and month-end billing reports with client, project, and billing analysis.
- Prioritize tasks to ensure both accuracy and efficiency.
- Contribute to process improvements through brainstorming, research, and implementation suggestions.
Knowledge, Skills, And Abilities
- 1 to 3 years of Billing or office experience
- Experience in Surveying, Engineering, Construction or Legal industries in an office environment would be ideal.
- Deltek Vision experience is ideal but can be trained, knowledge of similar ERP system is helpful.
- Proven experience in a high volume, fast paced and high-pressure environment.
- Ability to multitask with competing priorities.
- Comfortable dealing with numbers and the processing of financial information.
- Strong research and problem-solving skills.
- Excellent knowledge of MS Excel (Pivot Tables and VLOOKUP ideal).
- Adobe and the ability to manipulate documents.
- Results-driven with a backbone, assertive, self-starter, motivated and patient.
- High degree of attention to detail and trustworthiness.
Salary : $50,000 - $60,000
