Job Description
The Academic Operations Manager for the New York Architecture Program at the Fisher Center will interface with members of our vibrant academic community including a cohort of 20-30 undergraduate students, a faculty of 6-8 architecture professors and instructors, invited critics, lecturers and guests, mentors from across the professional landscape of architecture in New York City, and the facility’s operations team. The Academic Operations Manager works closely with the Architecture Program Director who is based at the Fisher Center and collaborates remotely with multiple team members who are based on the University’s main campus.

The Academic Operations Manager is supported locally by three part-time student assistants whom they oversee directly. The Academic Operations Manager will be involved in the development of architecture programming including workshops, public events and exhibitions of student work.

They will also support the program’s course delivery including specialized courses; such as the NYC mentorship and internship programs. Finally, the Academic Operations Manager will provide a range of administrative support which ensures the smooth day-to-day operations of the program.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.

Education and Experience
  • A bachelor’s degree is required.
  • A minimum of two years of experience in academic administration and direct interaction with students and faculty are strongly preferred.

Skills and Knowledge
  • Requires high level organizational and management skills, and the ability to work with students and faculty in an academic setting.
  • Requires creative problem solving and thorough knowledge of academic and administrative policies as well as familiarity with printing and plotting technology.
  • Excellent written and verbal communication skills, including facility with social media platforms, and the ability to work collaboratively are required.
  • Knowledge of academic organization policies, procedures, and budget process is desirable.
  • Familiarity with the architecture profession or related design field is helpful but not required.

Responsibilities
  • Manage long-term and day-to-day operations and administration of the Program, including expense management as it relates to budget preparation and budget analysis; in addition to oversight of the Programs accounts payable, payroll, monthly JPMC reconciliation reports, and financial reimbursement processing.
  • Partner with main campus administrative staff regarding business and clerical matters. Manage all processes related to program registration process, and ancillary services.
  • Serve as the main liaison with the Fisher Center Director of Facilities Operations for all classes, programs and activities including schedules and logistics.
  • Provide administrative support to the Program Director, faculty, and guests including: management of the program calendar, correspondence and communications, mail, travel arrangements, ticket purchasing, and support with event and field trip logistics.
  • Partner with main campus staff to execute faculty hiring as set forth by the Program Director.
  • Support new faculty, including onboarding to the program and orientation to the facility.
  • Provide administrative support at large to maintain a positive and effective learning environment, including audiovisual, printing and reproduction equipment management, and classroom setup coordination.
  • Assist Program Director and main campus Academic Advising Team with registration and course balloting.
  • Assist NYC Program faculty with course delivery, including communications, trainings, and any additional assistance needed. Be available to assist all faculty at the start of each class for 30 minutes.
  • Facilitate course interim reviews and final reviews.
  • Monitor overall student attendance trends and liaise with faculty, main campus Academic Advising Team, Director of Student Support for Remote Programs and Program Director as needed.
  • Interview, hire, train, schedule and supervise temporary or student support staff, such as studio equipment assistants and social media assistants.
  • Assign and monitor projects, create schedule and approve hourly compensation.
  • Perform other duties as determined in partnership with the Program Director or as assigned by the Dean or Associate Dean.
