Job Description
Based in Washington, DC or New York, NY and reporting to the Executive Director, Alumni Engagement – Northeast, this role manages the communications and operational needs for programming for the Northeast region. The Assistant Director oversees content creation for digital communication channels, including websites and social media. They interface with staff based in schools/colleges and the OAEAG Communications team to amplify communications from those units across regional channels, as appropriate. They serve as the liaison to the AEA Web Services team on the development of event registration pages and email communication to the region. The role supports financial processes, including the budget reconciliation process and purchasing card reconciliations for staff. They will also interface with external vendors who provide required services for events and programs, through tasks such as invoice processing and payment. This position will support the logistical needs of events and programs in the region, which may be held at University facilities or at locations in the region. They will be responsible for supervising part-time staff and volunteers as needed, during events. Additionally, this position will assist with major events on campus including, but not limited to, Orange Central, Reunions, and Alumni Awards.

This position is eligible to be based out of our New York City location and our Washington DC location.

Education and Experience
  • Bachelor’s degree required. Minimum of three years of experience in alumni engagement, development, or higher education preferred.
  • Detail and deadline-oriented.
  • Excellent writing skills a must.
  • Strong interpersonal and organizational skills.
  • Familiarity with Syracuse University and the Washington, DC region, a plus.
  • Valid driver’s license required.
  • Expertise with Microsoft Outlook, Word, Excel, and PowerPoint.
  • REQUIRES ability to work non-business hours which may include nights, weekends and /or holidays.

Skills and Knowledge
  • Developed technical skills including proficiency in MS Office, Adobe Creative Suite, and Cascade.
  • Knowledge of Citrus and Anthology/iModules with an emphasis on events.
  • Experience managing social media including Twitter, Facebook Instagram, LinkedIn, and others.
  • Website content creation and management.

Responsibilities
  • Manage all financial operations processes for the Northeast Team. These include budget reconciliation and purchasing card reconciliation for staff members monthly as well as vendor management, contract processing, invoice processing and payment. Compile data and information as needed for the university’s 990 report, to reflect income and expense activity. Additionally, manage and develop new operational processes for the team as needed.
  • Manage Northeast focused websites, social media and email communication including event builds and email retrieval requests. Collaborate with colleges, the OAEAG Communications team, and the AEA Web Services team on development and deployment of outreach strategies. Serve as primary manager for regional e-mail accounts and respond to inquiries in a timely manner from a variety of constituents. Maintain RSVP and guest lists. Oversee event follow-up communications and reporting of relevant metrics. Contribute to the Events and Programs Listing managed by the Office of Alumni Engagement and Annual Giving on all programs and events happening in the Northeast region.
  • Support the development and execution of programs and events in collaboration with the Northeast team. This may include engaging with colleagues in Advancement and External Affairs, campus partners, and external community partners. Manage event preparation needs, such as materials, bio-sketches/briefings and nametags, for alumni engagement events as well as regional advancement events, as needed.
  • Recruit, train, and manage part-time/temporary staff as needed to support events and programs; provide on-site support as needed for events that take place throughout the Washington, D.C., region, which may be held at the Syracuse University in D.C. facility and/or locations throughout the region.
  • Manage data analysis, monitoring, and inputting data related to Syracuse University’s Engagement Score. Oversee CITRUS and Anthology updates for communications and events including submission of event attendance, event speakers, and volunteers for Northeast region events.
