Summarize the main purpose of the role.
- We are recruiting for a Site Coordinator to join our team in the St. Paul, MN location.
- In this role, you will be providing general support to our Woodridge site staff and leadership by coordinating, planning, and organizing site events and corporate initiatives and providing operational support as listed in primary responsibilities.
- Additionally, you will provide basic administrative support to the Site Director.
- May provide back up support to higher-level management as needed.
Main Responsibilities
- Lead, plan, coordinate, and participate in various Client events and employee activities, such as team building and employee recognition events, employee giving campaigns, etc.
- General daily administrative functions including answering phones, calendar management, scheduling travel, meeting scheduling, scheduling caterings, ordering supplies, onboarding of new employees, processing expense reports, meeting/event planning, creating, or modifying business documents, preparing presentations from source materials, handling teleconference setups, and acting as a liaison for remote access issues
- Works with managers on extremely confidential activities of moderate to high complexity and must follow problems to resolution.
- May assess and offer solutions to site logistics challenges.
- Uses and understands Microsoft Office Suite and other business-specific software including, but not limited to, Concur (travel and expense system), Workday (employee database, performance management), Kronos (time keeping) and Outlook (calendaring and email). Creating and maintaining presentations and spreadsheets .
- May assist with posting visual communications on site (business metrics, announcements, site calendar). Uses intermediate to advanced software skills to perform work assigned.
- Act as public relations point of contact for the Woodridge site
- Partners and works closely with various internal stakeholders such as operations, HR, and talent acquisition
- Support site management to implement business objectives and initiatives.
- Works closely with senior management to ensure pertinent issues, changes, and updates are communicated.
- Interacts with outside vendors to communicate and coordinate site requirements.
- Data is typically employee-level or one-dimensional.
- Receives and responds to routine correspondence which may have confidential or business-sensitive information.
Qualifications
- High School Diploma / GED
- An equivalent combination of education and work experience
Experience
- Minimum 3 years
- Previous admin experience or equivalent.
- Must have a minimum of 2 years of business experience in a professional environment.
- Operates with general instruction and some supervision.
- Intermediate to advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.
Job Type: Contract
Pay: $20.00 - $22.00 per hour
