Job Overview
We are seeking a Conflicts/File Clerk to support both the Records and Conflicts Manager in ensuring accurate and timely conflict checks and maintaining the firm's filing system. This role involves performing administrative tasks related to client intake, records management, and office services. The Conflicts/File Clerk will also provide backup support for office services, including mail distribution, scanning, and hospitality arrangements.
Key Responsibilities:
- Receive and process client matter intake forms from firm employees.
- Enter new client matters into the accounting system and perform conflict checks on new and existing clients.
- Open new client files and organize filing bins for proper record management.
- Assist the Records Manager in maintaining and implementing filing activities.
- Provide backup support to the office services department, including:
- Copying, scanning, and sorting mail.
- Maintaining central storage rooms.
- Handling hospitality orders and setup for meetings.
- Perform other administrative duties as assigned.
Minimum Education & Experience Requirements:
- High school diploma or equivalent required.
- 1-3 years of experience in conflict checks (law firm experience preferred).
Special Requirements:
- Must have a valid driver’s license and access to reliable transportation.
Knowledge, Skills, and Abilities:
- Basic proficiency in Microsoft Word and Excel.
- Strong attention to detail and organizational skills.
- Ability to handle multiple priorities in a fast-paced environment.
- Excellent communication and problem-solving skills.
Additional Desired Characteristics:
- Experience in a legal or professional services environment.
- Familiarity with legal records management systems.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
