Job Summary:
A regional professional services firm is seeking an experienced Legal Assistant to provide administrative and legal support to a team of attorneys. This position plays a key role in preparing legal documents, maintaining files, managing attorney calendars, and assisting with court filings. The Legal Assistant will operate in a team-based environment, ensuring efficiency and professionalism in all aspects of legal and client support.
Key Responsibilities:
- Prepare practice-specific documents, including court filings and e-filings.
- Maintain and update electronic and physical filing systems for pleadings, correspondence, and closings.
- Delegate appropriate attorney work to internal departments.
- Answer and screen phone calls, take messages, and receive clients and visitors in a professional manner.
- Maintain confidentiality and uphold the attorney-client privilege.
- Read, sort, and process incoming and outgoing mail, including specifying delivery methods.
- Schedule and manage attorney meetings and deadlines, and enter court dockets and case updates into electronic calendaring systems.
- Assist other attorneys and legal assistants in the practice group as needed.
- Review and revise pro forma billing reports as requested.
- Open new client files, initiate conflict checks, maintain and archive client records, and prepare files for closure.
Minimum Education & Experience Requirements:
- High school diploma or equivalent required.
- 5–7 years of experience in a similar legal administrative role.
Special Requirements:
- Familiarity with court filing procedures, including electronic court systems.
- Ability to type a minimum of 45 words per minute.
Knowledge, Skills, and Abilities:
- Excellent spelling, grammar, and proofreading skills.
- Intermediate proficiency with Microsoft Word.
- Strong organizational and prioritization abilities.
- Effective task delegation skills.
- High degree of self-motivation and flexibility to complete assignments efficiently.
- Ability to manage multiple deadlines and produce quality work in a fast-paced environment.
Additional Desired Characteristics:
- Proficiency with Microsoft Excel.
- Experience using Intapp Flow.
- Familiarity with document management tools such as iManage 10 / FileSite.
- Experience using Chrome River for expense management.
- Skill with PDF creation, conversions, and manipulation.
Work Environment:
- Based in a Northeast Region office with standard business hours.
- Minimal to no travel expected.
- Hybrid or in-office work arrangements may be available based on company policy.

Pay: $80,000.00 - $110,000.00 per year
