Job Summary:
The Legal Practice Assistant provides comprehensive administrative and legal support to attorneys, ensuring efficient workflow and organization within the firm. This role involves managing attorney schedules, preparing legal documents, coordinating filings, and maintaining client records. The ideal candidate should have strong organizational, communication, and technical skills, along with experience in litigation support.
Key Responsibilities:
- Manage attorney calendars, appointments, and correspondence to optimize time management.
- Docket deadlines and schedule virtual and in-person meetings, depositions, and legal proceedings.
- Assist in drafting, formatting, proofreading, and redlining legal documents, including pleadings, discovery, motions, and agreements.
- Prepare and file pleadings, briefs, and administrative submissions with courts and agencies such as the EEOC and NLRB.
- Organize and compile exhibits, witness lists, and essential case materials.
- Handle electronic and physical filing of legal documents in compliance with federal and state court procedures.
- Maintain client files and office records in both digital and physical formats.
- Support the billing process by reviewing time entries, making necessary corrections, and managing client budgets.
- Process attorney time entries, expense reports, and check requests.
- Assist with travel arrangements and other administrative tasks.
- Facilitate new matter setup, including conflict checks, engagement agreements, and client records.
- Maintain attorney contact lists through Outlook or client relationship management software.
- Provide support to assigned attorneys and assist other attorneys as needed.
Minimum Education & Experience Requirements:
- At least 7 years of experience as a legal practice assistant in a litigation environment.
- Strong knowledge of Federal Rules of Civil Procedure and Pennsylvania Rules of Civil Procedure.
- Degree preferred; relevant work experience will be considered in lieu of a degree.
Special Requirements:
- Accurate typing speed of at least 70 words per minute.
- Familiarity with legal and administrative filing procedures, including electronic court filings.
- Ability to maintain confidentiality and ensure document security.
Knowledge, Skills, and Abilities:
- Strong organizational and communication skills (verbal and written).
- Proficiency in Microsoft Office 365, Outlook, Excel, Word, Adobe, iManage Work, and DocuSign.
- Experience with document formatting, redlining, and legal transcription.
- Ability to manage multiple tasks in a fast-paced legal environment.
- Experience with BigHand and data management systems preferred.
