SUMMARY:
Provide higher level/complex administrative/project coordination support for certification of management systems. The Senior Operations Support Representative will independently coordinate various complex projects as required including communicating regularly with clients and ensuring services are delivered in accordance with client expectations and within budget and on schedule.

SUMMARY:

The Senior Operations Support Representative will independently coordinate various complex projects as required including communicating regularly with clients and ensuring services are delivered in accordance with client expectations and within budget and on schedule.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Coordinate progressively more complex projects/audits as needed for a large area/region. Using independent judgment, determine staff/project assignments in order to best meet customer requirements.
- Initiate projects in databases, maintaining and updating project information in a timely manner to insure accurate reporting of earnings and accurate billing. Flag completed projects for billing purposes.
- Act as main point of contact to audit/sales/certification staff and clients regarding project information, status, and schedule.
- Provide excellent customer service through continuous and regular contact with clients for follow-up/updates, responding to inquiries, and researching/resolving any client issues/problems.
- Client interaction may include senior level and international clients.
- Using experience and technical knowledge make initial review and/or analysis of completed project documentation to determine next course of action e.g. whether a certificate or technical update is required etc.
- Maintain and update client information in databases. Send out new client packages/applications/contracts as needed
- Track and process client/project/assignments billing for assigned department/group, working with accounting and client to resolve any billing/accounts receivable/credit issues.
- May manage certificate process including processing and printing certificates, submitting documents for review, and mailing out certifications when necessary
- Provide reports and analysis to management as needed. e.g revenue forecasts each month to management based on project status and schedule.
- Act as Lead for and assist in training other Operations Support administrative staff.
- May coordinate and compile data/work of other Operations Support Staff for management
- May need additional technical expertise in supported department area
- Perform other related duties and projects as assigned.

- Strong project/time management and organizational skills with the ability to work in a fast-paced, multi-tasking environment coordinating multiple and changing priorities
- Strong verbal, written, and interpersonal communication skills.
- Ability to work under pressure, carry out urgent requests and meet deadlines.
- Must be articulate, professional, and be customer service oriented
- Knowledge of Microsoft Office
- Additional technical expertise in supported department area as needed
Experience
