Summary
As a Front Desk Clerk, you will be the first point of contact for our clients, providing exceptional customer service and administrative support. Reporting to the Office Manager, your core responsibilities will include managing multi-line phone systems, scheduling appointments, and maintaining organized office records. Your strong communication and organizational skills will be essential in creating a welcoming environment. Additionally, your premium skills in event planning and vendor management will enhance our operational efficiency, while relevant experience in medical office management will be a valuable asset to our team. Specific Desk Clerk Functions:
- Guest Reception: Greet visitors in a friendly, professional manner and direct them to the appropriate person or department.
- Telephone Management: Answer and route incoming calls efficiently, handle inquiries, take messages, and follow up when necessary.
- Visitor Check-In: Manage visitor registration and maintain the security log to track all guests entering the premises, ensuring compliance with visitor protocols.
- Administrative Support: Perform clerical duties such as filing, photocopying, and data entry to support various departments as needed.
- Scheduling: Assist with booking appointments, meeting room reservations, and scheduling visitor appointments.
- Mail and Deliveries: Receive, sort, and distribute incoming mail and deliveries; prepare outgoing mail and packages.
- Maintain Front Desk Area: Keep the reception area neat and organized, restocking supplies as necessary and reporting any maintenance needs.
- Security: Enforce security protocols by issuing visitor badges, monitoring access, and reporting any suspicious activities.
- Customer Service: Address inquiries from employees, visitors, and callers in a courteous and helpful manner, ensuring a positive experience.
Qualifications
- Previous office and clerical experience
- Strong communication and organizational skills
- Proficiency in office management and administrative tasks
- Experience with multi-line phone systems and calendar management
- Familiarity with medical office management is a plus
- Ability to manage schedules and events effectively
- Training and development experience preferred
