Job Summary:
We are seeking a detail-oriented Payroll & Accounts Receivable Specialist to oversee payroll processing and accounts receivable functions, including cash applications and deposits. This role ensures accurate and timely payroll processing while managing incoming payments, maintaining financial records, and assisting with reconciliations.
Key Responsibilities:
Payroll Processing
· Process weekly payroll for employees, ensuring accuracy and compliance with federal, state, and local regulations.
· Maintain payroll records, including employee deductions, benefits, and tax withholdings.
· Respond to payroll-related inquiries from employees and resolve discrepancies.
· Ensure compliance with wage and hour laws, tax regulations, and company policies.
· Submit 401(k) and HSA deposits in a timely manner
· Prepare and file federal, state and local payroll taxes, including quarterly and annual tax filing reports and assist with audits as needed.
Accounts Receivable & Cash Applications
· Process and apply incoming payments (checks, ACH, credit card, etc.) accurately and in a timely manner.
· Prepare and record daily bank deposits.
· Reconcile accounts receivable balances and ensure accurate application of payments.
· Monitor customer accounts for overdue payments and contact customers for resolution.
· Assist with invoicing and resolving payment discrepancies.
General Accounting & Compliance
· Maintain accurate financial records related to payroll and accounts receivable.
· Assist in month-end and year-end closing processes to include accounts reconciliations
· Work closely with HR, finance, and external auditors to ensure compliance with company policies and accounting regulations.
· Identify process improvements to enhance efficiency in payroll and AR functions.
EDUCATION/TRAINING/EXPERIENCE:
1. Associate degree in accounting or related field preferred, with a minimum of three to five years payroll and/or accounts receivable work experience, preferably with exposure to piece rate pay systems.
2. Solid understanding of payroll tax calculations, laws and AR best practices
3. Excellent attention to detail, organization and problem-solving skills
4. Proficiency in payroll software and accounting systems
5. Ability to maintain confidentiality and handle sensitive financial data
6. Strong spreadsheet skills (Excel) and the ability to use other accounting software.
