This position provides specialized technical support with all student data at the assigned school/building; records and maintains students records in the student information system for the improvement and success of District wide initiatives; generates student data query reports for the assigned school/building; produces the assigned school/building master schedule; demonstrates exceptional customer service to students, staff, the public and parent(s)/guardian(s).

Experiences strict deadlines; required to concentrate on detail and be precise; confined to work station for prolonged periods; prolonged visual and mental concentration on high volume of detail; prolonged exposure to visual display terminal; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.
Minimum Qualifications
Education and Experience
AA or vocational certificate in computer science, data processing or related field, with at least two, preferably three, years increasingly responsible general office and data processing experience, including experience working with student information systems; secondary school experience, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
Licenses/Special Requirements
Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.
Allowable Substitution
Alternative combinations of technical training in data processing and work experience will be evaluated by Human Resources for comparability.

Essential Job Functions
- Records and maintains quality control of the student demographic information in the student information system; enters student enrollment and withdrawal information for District and District approved student support programs; ensures student data is aligned with District and State requirements; assists staff and other end users of the student information systems; performs query reports for the assigned school/building administrators in support of District wide initiatives.
- Enters appropriate and accurate grades into students record creating a legal document (transcript); translates transfer students transcripts and enters into student information system; enters, ensures accuracy and maintains grade reporting information; reviews and processes student grades for District and approved student support programs; sends Interim Progress Reports (IPR) and Report Card (RC) grading timeline to appropriate staff; checks for inaccuracies and works with staff for corrections; processes the IPR and RC into the student information system; ensures accuracy of Grade Point Average (GPA) calculation, rank calculation, rank report and student mark summary report; sends IPR and RC to students, parent(s) and guardian(s), as directed.
- Generates and/or exports variety of specialized reports for the District and assigned school/building staff, as directed; ensures accuracy of Graduation tracking, Graduation Cohort Status Report, GPA calculation, Master Timetable pivot, class lists, schedules and other reports requested by administration and staff.
- Prepares monthly state apportionment report (P223) for administrative review and approval; runs student full time equivalent and enrollment reporting, consecutive absence reporting and free time detail reports; verifies enrollment and schedule in the approved District student support programs; analyzes and compares credits to schedules; participates as a key player in support of District goals at the assigned school/building; submits P223 to District to meet state deadline for reporting.
- Creates and maintains the school/building Master Schedule bi-annually; coordinates scheduling process with administration and counseling staff; maintains accurate school/building course code details in the student information system; creates and maintains student course catalogue selection schedules; reviews student course entry forms and in online home access accounts for errors; send reports to staff for review and completion; processes schedule changes; creates individual and mass student schedules for assigned school/building and approved District student support programs; examines the completed Master Schedule for accuracy.
- Tracks negative withdrawals to comply with District wide initiative for improved graduation rate; researches student information using various resources with OSPI and student records exchange query; contacts families to inquire about student enrollment status; verifies enrollment with another school; updates withdrawal data in the student information system.
- Collaborates with other staff to create a comprehensive graduation list; adheres to State and District requirements; queries student data from a variety of sources; maintains graduation lists.
- Answers inquiries and provides information to students, parent(s)/guardian(s) and staff regarding records; performs research to resolve discrepancies, as directed.
- Maintains and updates knowledge and skills necessary for success in the position by participating in professional development activities, meetings, seminars and workshops, as needed or as assigned.
- Maintains knowledge of current developments and requirements related to updates of District, Federal and State guidelines, student information data systems and applicable procedures.
- Performs related duties as assigned, on a temporary basis.
