Overview: We are seeking a highly organized and customer-focused Leasing Agent/Assistant to join our team. This position will play a vital role in assisting with all leasing activities for our apartment units, from showing properties to processing lease agreements. Additionally, the Leasing Agent/Assistant will help with bill entry and administrative tasks to ensure smooth operations. Whether you’re looking for a full-time or part-time position, this role offers a dynamic work environment where you’ll interact with prospective tenants, handle leasing paperwork, and contribute to maintaining a high standard of service.
Responsibilities:
Leasing & Tenant Relations:
- Greet prospective tenants and conduct property tours of available apartments.
- Assist in marketing vacant units, including posting online listings, responding to inquiries, and following up with leads.
- Review applications and assist in the lease application process, including screening tenants and processing necessary documents.
- Coordinate move-ins and move-outs, ensuring all necessary paperwork is completed and tenants are informed of procedures.
- Answer tenant questions, address concerns, and ensure a positive experience throughout their leasing journey.
- Assist in preparing and executing lease agreements, renewals, and other related documents.
- Maintain accurate records of all leasing activities and tenant interactions.
- Collaborate with property management to resolve any tenant issues or concerns.
Billing & Administrative Support:
- Enter billing information and charges into the property management system in an accurate and timely manner.
- Assist in tracking payments, processing rent collections, and maintaining billing records.
- Help with generating invoices and following up on overdue payments as necessary.
- Ensure that tenant accounts are updated and reflect any changes, such as move-ins, move-outs, or adjustments.
- Provide general administrative support, including answering phone calls, responding to emails, and maintaining files.
- Coordinate with vendors and contractors for maintenance requests and ensure timely billing for any work completed.
Requirements:
- Previous experience in leasing, property management, or customer service is preferred but not required.
- Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines.
- Excellent communication and interpersonal skills to interact effectively with tenants, property management, and prospective renters.
- Proficiency in basic office software (Microsoft Office, Google Suite, etc.) and familiarity with property management software is a plus.
- High attention to detail and ability to maintain accurate records.
- Ability to work independently and as part of a team.
- A positive and proactive attitude with a willingness to learn and adapt to new tasks.
- Ability to maintain confidentiality and handle sensitive tenant information responsibly.
- Availability to work flexible hours, including evenings or weekends as needed for property showings and tenant meetings.
