Job Type

Mid-level Office Coordinator position with the opportunity to grow into a year-round Office Manager role. The position is 5 days a week including weekends. Position runs April 1 – Mid October, with the option to work part or full time over the winter.

Job Description

Our office fields all incoming calls and has first contact with our clients. This frontline position is essential to our success. In addition, the coordinator supports and manages all day-to-day operations including phone bookings, online reservations, reservation management, providing guests with all necessary information for an enjoyable experience on tour, staffing guides, supporting staff with necessary information, providing guests with pertinent tour and Tahoe related information. Office Coordinator/ Manager reports to the owners and works closely with all staff. Individuals who succeed in this position possess excellent communication skills, are self-starters, prioritize under pressure, enjoy wearing many hats, are flexible, and have a good sense of humor. A guiding background and the ability to drive trailers is a plus.

Key Responsibilities

· Answering incoming calls – asking questions to learn what a client is looking for so the best experience can be offered

· Replying to client inquiry emails

· Processing online reservations from reservation system and third-party platforms

· Collecting guest information to best support guides for their tour

· Providing guests with all pertinent information for their experience

· Successfully managing tour calendar to maximize resources

· Keep a close eye on weather forecast to successfully execute tours

· Schedule staff thoughtfully

· Make reservations with vendors

· Assist with permit reporting

· Update trip details on booking platforms

· Supporting execution of tours – prep gear, load equipment, logistics projects

· Help plan staff gatherings and enhance company culture

· Cover beach rental shifts if needed

Working Conditions:

This position requires weekends. During high season office hours are 8:30am-5:30pm and being punctual is vital.

Office staff will spend long hours sitting and using office equipment. Owners regularly work on-site with office staff. Tour preparation will require some lifting from time to time. Our office is also our warehouse and is an open layout. There is regular activity to work around. Position requires flexibility with last minute changes and challenges. Daily deadlines can be high stress in high season.

Compensation

Initial contract will be $25-$28/hour plus seasonal bonus based on experience and responsibilities with room to grow with subsequent contracts.

Sick Pay

Up to 40 hours of paid sick leave per year, with accrual beginning after 90 days. Unused sick leave will be paid out at the end of the contract period.

Vacation

At TAC, all staff plans vacation times at the beginning of summer. Schedules are created so that the office and field are always covered. Vacation is unpaid during an initial contract.

401k

Eligible for enrollment in the company’s 401k plan with 3% match starting after 1 year of employment and 1,000 hours worked. Enrollment windows are July 1st & January 1st.

Other Compensation

Position includes tour discounts for friends and family, access to company gear, competitive pay, end of season bonus, company gatherings, and industry discounts.
