Position Description
TAIT & Associates is seeking a Permit & Design Coordinator to work closely with the Directors in the PMO Group. As the Permit & Design Coordinator, your primary responsibility is preparing and assembling all applications/documents required for various Permit Submissions, as well as the submission and application tracking/follow up. You will also be responsible for assisting with administrative tasks such as updating project statuses, schedules, file storage/management and ad-hoc regulatory research. You will primarily interface with the PMO team, as well as clients and city/county building departments.
Essential Duties & Responsibilities
- Gather supporting documents internally and externally via software/email, complete applications, and submit them to local and state government agencies, primarily for building and construction permits.
- Regularly follow up on submitted applications, manage timelines, and communicate estimated completion dates to expedite approvals.
- Contact local governments to verify research findings, ensuring all permitting requirements, including forms and fees, are accounted for.
- Provide support for various permits, filings, customer communications, administrative project work, and internal tasks.
- Maintain organized and up-to-date systems, ensuring permit submissions reflect the latest information.
- Assist the project team with development projects from the Conceptual Phase through Construction.
- Conduct site feasibility studies and due diligence research.
- Support entitlement approvals and permit processing.
- Process and track permits across multiple projects.
- Collaborate with the Entitlements Director and Construction Document Director to meet project milestones.
- Follow up on design team deliverables to ensure project progress.
- Bachelor's degree in engineering or architecture.
- Proficient with Excel, Word, PowerPoint and Smartsheet.
- Prior experience with permitting
- Experience in administration, project coordination, and/or clerical work
- Excellent written and interpersonal skills - not afraid to make phone calls and over-communicate both internally and externally with clients and jurisdictions
- Strong organizational skills and attention to detail
- Ability to learn quickly and effectively
- Experience with site development coordination with government agencies, and design consultants
- Previous experience submitting plans to municipalities preferred.
- Attend meetings at job site locations, various municipalities (hearings) or TAIT offices.
- Ability to drive a vehicle to job sites or client meetings.
- Ability to lift and carry plan sets that can weigh up to 20lbs; cart provided for assistance.
Salary range for position: $60,000/yr - $80,000/yr
