Director of Patient Accounts
Our client a large medical has an opening for a Director of Patient Accounts.
The Revenue Cycle Patient Accounts Director will provide effective and coordinated oversight of business office operations as well as high-level direction for all individuals residing in the department. The Director will oversee overall team management, billing, follow-up / denial management, cash posting, outpatient coding, customer service, vendor management, credit processing, & audit functions to maximize revenue, cash flow, and service excellence. The Director is expected to develop and continuously monitor short & long-term goals for the department that are in line with the organization’s goals - considering budgeting, financial management, and human resource management. This position’s major area of responsibility is directing the Management team on a day-to-day basis to identify areas of opportunity as well as developing and execute processes to meet / exceed departmental performance expectations. The
Director also oversees all collaboration & communication with vendors and external
departments to create positive and successful long-term relationships.
* Develop and implement short and long-term goals for the department based upon previous performance, budgeted forecasts, benchmarking / best practices, upcoming departmental activities, and leadership initiatives.
* Develop and monitor key performance indicators. Work with the Assistant Director, unit managers / supervisors / staff, and external departments to resolve issues and maintain key performance metrics.
*Research & facilitate the use of best practice processes. Work with the CFO, VP, AVP, & Managed Care department to address payer, regulatory, financial, and operational issues / changes as well as emerging industry trends.
*Determine overall staffing levels for the department where just-in-time adjustments are warranted (temporary resources, vendor assistance, etc.). Assess the impact on the overall budgeting.
*Oversee the department’s quality, productivity, & professional development program.
*Monitor and track management and staff progress reports for department training and development programs (e.g., Quality Review program, HBI program, Learning requirements). Provide feedback to management & staff members to ensure adherence to policies.
*Complete all reporting and submissions to ensure compliance with all New York state and Federal / CMS regulations pertaining to Patient Accounts and Finance (as needed)
*Assist with the annual operating and capital budget for the Patient Accounts Department.
*Facilitate the resolution of billing, collection, coding, customer service, & system-related risks and opportunities. Enforce policies, procedures, and workflows that will resolve issues and maximize cash flow.
*Oversee departmental work-in-process (billing, collections, denials, coding, audit, cash posting, and customer service) ensuring that hospital accounts receivable and receivable liabilities are worked timely and effectively.
*Ensure the transaction master / CDM are up to date through communication with ancillary departments & AVP of Revenue Cycle.
*Assist the AVP of Revenue Cycle with CDM year-end initiatives and updates. Implement updates in accordance with hospital policies / regulations.
*Communicate effectively with the Managed Care & Finance departments to elevate issues and facilitate timely resolution of outstanding accounts receivable. limited to, Pt. Access, Managed Care, Finance, Case Mgt, HIM, IT, HR, Facilities, etc.
*Prepare materials, reporting, and / or trend analysis for meetings with all parties. Attend payer meetings as required.
*Escalate, track, & resolve administrative / clinical issues that contribute to payer denials and aging. Lead initiatives to improve and enforce internal operational controls and process / system changes.
*Monitor & track vendor performance metrics, new vendor onboarding / training, and lead communications regarding outcomes, issues / denials, & upcoming strategies to resolve accounts.
*Expedite the flow of information with the vendor regarding current payer issues, denials, etc. Oversee the timely review and submission of invoices.
*Identify new vendor and existing vendor contract opportunities. Illustrate the return on investment for new / modified contract services to Revenue Cycle leadership. Engage in vendor vetting process and contract development.
*Resolve functionality issues with Allscripts or other Patient Accounts applications to ensure programs are running as expected
*Communicate effectively with the SFM Systems Manager, Wyckoff IT, and vendors to describe process & technical issues and / or when enhancements are needed. Provide a feedback loop for all closed items.
*Perform or interpret data analysis and gather data requirements to produce a variety of departmental or finance related reports. Support the Assist Director in interpreting data to execute special projects, aging clean-up, etc. as needed.
*Proactively communicate & collaborate with Union delegates on upcoming changes in policies or procedures. Provide analysis and documentation as to why updates are being made in the department.
*Provide verbal & written communication to the AVP of Revenue Cycle and Revenue Cycle Leadership regarding department progress and goals updates.
*Adjust Assistant Director / manager / supervisor / staff assignments and priorities, as needed to meet goals within the department
*Foster a collaborative and team-oriented work environment. Prepare materials and lead departmental meetings / trainings on a consistent cadence. Meet regularly with the management team and staff.
*Oversee department staff morale and well-being. Celebrate successes and ensure staff are provided with meaningful work experience.
*Ensure proactive communication with the Human Resources department to ensure all workforce issues are resolved in a positive and compliant manner.
*Complete and track the department’s yearly budget based upon leadership goals & finance targets. Communicate variances to Revenue Cycle leadership on a regular cadence.
*Financially justify variances and create business plan(s) analyzing the cost-benefit of proposed programs.
*Responsible for all department payroll activities, vacation requests, and time / staff monitoring.
*Oversee the staff and management team hiring / interviewing process, including new employee onboarding. Ensure training plans are adhered to, and new employee performance meets expectations throughout the probationary period.
*Oversee the payment of all department invoices. Ensure invoices are submitted and
processed in compliance with contract terms.
*Demonstrate advanced knowledge of Microsoft Office products (Excel, Word, PowerPoint, etc.), Hospital Information Systems, and Billing software. Tableau experience preferred but not required.
*Demonstrate excellent verbal and written communication skills including the ability to influence and advocate when appropriate.
*Communicate complex information and ideas effectively with technical and non-technical individuals across the organization.

Position Requirements
This position requires a minimum formal education of Bachelor's Degree and a minimum of 5 years job-related experience.
Desired (not required) criteria include Master’s Degree Knowledge of Allscripts SFM Experience using visualization software (e.g., Tableau, Visio) CPC/CCS SQL Prior related Management Experience. Knowledge of Medical Terminology. Competent in use Computers. Professional appearance and pleasant personality. Congenial manner ability to deal with / assist persons under stress. Good telephone personality / manner.
Salary : $150,000 - $165,000
