Position Summary:
Talbot Health Services is seeking an organized and compassionate Admissions Coordinator to manage the client intake process and ensure smooth admissions. The Admissions Coordinator will be responsible for handling incoming calls, conducting initial screenings and assessments, verifying insurance information, and scheduling appointments. The role requires close coordination with clinical and administrative staff to ensure a seamless admissions experience for clients.
In addition to admissions duties, the Admissions Coordinator will build and maintain relationships with referral sources, provide information on our treatment programs, and follow up with clients and referral sources. The coordinator will also assist with tracking trends, generating reports, and ensuring compliance with HIPAA and confidentiality regulations.
Key Responsibilities:
- Respond to incoming calls from prospective clients, family members, and referral sources.
- Conduct initial screenings and pre-admission assessments to determine treatment needs and eligibility.
- Verify insurance details and gather required documentation for admissions.
- Schedule admissions appointments and coordinate logistics with clinical and administrative staff.
- Build and maintain relationships with referral sources including hospitals, outpatient programs, and community organizations.
- Provide information about treatment programs and services to potential clients and referral sources.
- Maintain accurate client records and ensure compliance with HIPAA regulations.
- Assist with tracking admissions trends, generating reports, and outreach efforts.
Education and Experience Requirements:
Required:
- Active Ohio LSW, LPC, or LCDC II/III license in good standing.
- Bachelor’s degree in a related field.
- CPR/First Aid/AED Training.
- Crisis Prevention/De-escalation Training.
Preferred:
- Previous experience in admissions, intake coordination, customer service, or a related field, preferably in a substance abuse or healthcare setting.
- Strong communication and interpersonal skills with a compassionate approach to client interactions.
- Ability to multitask and work in a fast-paced environment.
- Proficiency in Microsoft Office and database management.
- Knowledge of insurance verification and healthcare regulations is a plus.
