SUMMARY
The Administrative Assistant/front desk works under the supervision of the front desk team lead and is responsible for providing support services as deemed necessary and in a manner that is consistent with the Agency’s vision and values. This position is located at our main street location in Mansfield, Ohio. This is an hourly position with hours and schedule established to complete the required duties. This position is not exempt from wage and hour regulations as defined by the U.S. Department of Labor and is therefore granted protections under the Wage and Hour Division of the Fair Labor Standards Act.

EDUCATION, EXPERIENCE, LICENSE, CERTIFICATION
Required:
- High school diploma, GED certificate or equivalent
- Two years of applicable experience
OR
- Bachelor’s degree in an applicable field
Preferred:
- CPR/First Aid/AED Training
- Crisis Prevention/De-escalation Training
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Business office operations.
2. Answer telephone and greet the public.
3. Schedule appointments for assessments, admission, clinical and medical appointments and meets with new clients to ensure completion of the admission packet.
4. Collect and process billing lists.
5. Organize and file miscellaneous forms.
6. Print weekly client lists.
7. Input client records into the electronic medical record or computer census.
8. Distribute incoming and outgoing mail.
9. Collect and manage all documents for billing purposes.
10. Fax or email appropriate documents to courts and/or other agencies.
11. Order and maintain supply inventory. 1
2. Assist with prior authorization, as needed.
ADDITIONAL DUTIES AND RESPONSIBILITIES
1. Perform other duties in a manner that’s friendly, considerate and aligned with the Agency’s vision and values.
2. Organize and plan work for maximum efficiency and effectiveness.
3. Utilize IT systems and software programs in accordance with agency policy.
4. Utilize time off in a manner consistent with agency policy.
5. Perform other duties as deemed necessary and appropriate by supervisor.
6. Assist management team with accounting and/or census reports, as assigned.
ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS
1. Ability to learn and utilize the agency’s electronic tools effectively and efficiently within 90 days of hire.
2. Possess and demonstrate effective computer skills and knowledge in MS Office software applications including Word, Excel, Publisher and Power Point.
3. Demonstrate excellent interpersonal and customer services skills.
4. Possess knowledge of agency fiscal software.
5. Demonstrate the ability to effectively function as a Talbot Health Services team member.
6. Demonstrate the ability to effectively manage multiple tasks concurrently.
7. Possess and demonstrate excellent organizational, communication and problem-solving skills. 8. Demonstrate the ability to customarily and regularly exercise discretion and good professional judgment.
9. Effectively work in a fast-paced environment.
10. Demonstrate the ability to relate with sympathy and sensitivity to staff, clients and the community.
