Key Responsibilities:
- Providing comprehensive paralegal support for trust and estate administration matters, ensuring cases are efficiently managed from start to finish.
- Drafting and filing IRS forms and corresponding documents related to estate matters.
- Utilizing Florida court filing systems to prepare and file pleadings in compliance with court standards.
- Scheduling court hearings, client appointments, and managing deadlines and related tasks.
- Maintaining organized electronic and physical case files and implementing reminder systems for critical deadlines.
- Drafting, proofreading, and formatting legal documents, pleadings, and correspondence.
- Managing communications with beneficiaries, creditors, and clients.
- Collaborating with other departments, including billing, training, and records management, to ensure seamless case handling.
- Delivering exceptional service to clients, attorneys, and staff through clear and professional communication.
Qualifications & Experience:
- A minimum of 3 years of experience as a paralegal specializing in trust and estate administration, preferably in a mid-to-large law firm setting.
- Expertise in Florida estate administration procedures and court filing systems.
- Proven ability to work with multiple attorneys and manage a high volume of tasks.
- Proficiency in Microsoft Office Suite and familiarity with legal case management and billing software such as FileSite, CMS, SmartTime, Aderant, or HotDocs (preferred).
- Excellent organizational skills, a keen attention to detail, and the ability to multitask effectively.
- Strong written and verbal communication skills, with the ability to draft and proofread legal documents and correspondence.
