Procurement Operations Analyst (CW) Job Summary: Talent Software Services is in search of a Procurement Operations Analyst for a contract position in San Rafael, CA. The opportunity will be one year with a strong chance for a long-term extension. Primary Responsibilities/Accountabilities:
The role is responsible for managing the indirect procurement process, acting as the main point of contact for our Managed Services Provider (MSP) and business stakeholders to ensure purchase requisitions, change orders, and receipts are executed timely and accurately. It includes day-to-day administration of the SAP Ariba Buying system, troubleshooting errors, identifying bottlenecks, recommending process improvements, creating reports, and monitoring key metrics like cycle times.
- Manage the Requisition to Purchase order process in Ariba, including change orders, PO management, and receipting.
- Serve as the subject matter expert for the indirect procurement process within SAP Ariba, ensuring requests progress efficiently through the system.
- Provide oversight and guidance to our MSP, performing quality checks on requisitions and end-user support.
- Coordinate with the MSP and business stakeholders to provide guidance on processes and policy, and resolve issues.
- Conduct end-user trainings to ensure understanding of the system, process, policies, and responsibilities.
- Identify and resolve discrepancies and issues in data or system errors.
- Develop and improve indirect procurement workflows, identifying process improvements and areas to increase efficiency.
- Generate reports to monitor volumes, cycle times, bottlenecks, and statuses.
- Assist in the development and implementation of SOPs, policies, and training materials.
- Liaise with Procurement, Supplier Operations, Accounts Payable, and other key teams to resolve system and process-related issues.
- Ensure compliance with internal procurement policies and system requirements.
Qualifications:
- Minimum Level of Education Required: Bachelor's Degree in Business, Supply Chain Management, or related field.
- Area of Specialization: Experience in procurement and supply chain management in a global capacity, preferably within the pharmaceutical sector.
- Experience working in a matrix (global/regional) business environment.
- Strong networking skills and a proven ability to build productive and collaborative relationships with stakeholders and business partners.
- Strong analytical, written, and verbal communication and influencing skills.
- Ability to work in a high-pressure environment, often under tight deadlines.
Preferred:
- Strong experience with SAP Ariba Buying & Invoicing (S4 a plus), preferably in an operational and/or process management capacity.
- Ability to understand and become an expert in system configuration to maintain optimal end-user experience.
- Experience working with IT to troubleshoot system issues and drive resolution.
- Confident presentation skills for conducting end-user training.
- Strong working knowledge of the source-to-pay process.
- Proficiency in Microsoft Office suite applications (Teams, Excel, Word, PowerPoint, Outlook) and PDF editing tools (e.g., Adobe Acrobat).
- Ability to create Ariba reports, analyze data, and proactively surface issues and recommendations.
- Working knowledge of other procurement systems is a plus (e.g., Coupa).
- Experience working effectively with and directing managed-services teams.
- Specific knowledge and expertise in indirect procurement systems and processes.
