Position Summary
The Project Accountant is responsible for managing the financial aspects of construction projects, ensuring accuracy in reporting, compliance with contractual requirements, and alignment with company policies. This role requires expertise in AIA billing, job cost accounting, and financial analysis within the construction industry.
Key Responsibilities
Financial Management & Reporting
- Maintain accurate job cost records and ensure all transactions are coded correctly to appropriate projects.
- Prepare and analyze project financial reports, including budget vs. actual costs.
- Assist in the preparation of monthly WIP (Work in Progress) reports and revenue recognition.
- Monitor project budgets, forecasts, and cash flow to ensure financial efficiency.
AIA Billing & Accounts Receivable
- Prepare and submit AIA G702 & G703 applications for payment in compliance with contract terms.
- Work with project managers to review pay applications, ensuring proper documentation, accuracy, and approval before submission.
- Track and follow up on outstanding invoices and retention payments.
Subcontractor & Accounts Payable Management
- Process subcontractor invoices and lien waivers, ensuring compliance with contract terms.
- Assist in managing compliance documentation such as insurance certificates and payment affidavits.
- Work closely with procurement and project management to match purchase orders with invoices and resolve discrepancies.
Compliance & Contract Administration
- Ensure adherence to contract terms, prevailing wage laws, and tax regulations.
- Support project teams with compliance-related reporting, including certified payroll and lien release tracking.
- Assist in external and internal audit processes by providing financial documentation and reconciliations.
Collaboration & Communication
- Work closely with project managers, superintendents, and executives to provide financial insights and recommendations.
- Communicate with clients, vendors, and subcontractors regarding billing, payment status, and compliance issues.
- Assist in system enhancements and process improvements for job cost accounting.
Qualifications
- Education: Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Experience: Minimum 3-5 years of construction accounting experience, including AIA billing.
- Software Proficiency: Experience with construction ERP/accounting software such as Sage 300 (Timberline), Viewpoint Vista, Procore, or CMiC.
- Knowledge of Construction Finance: Familiarity with WIP reporting, job cost accounting, retainage tracking, and contract administration.
- Skills: Strong analytical, problem-solving, and communication skills.
- Detail-Oriented: Ability to manage multiple projects while maintaining accuracy in financial reporting.
