- Build and maintain strong professional relationships with attorneys, staff, and clients to ensure compliance with billing and collection processes.
- Manage all billing and collection activities from client engagement through payment resolution with diplomacy and effective negotiation skills.
- Handle complex billing arrangements, including client-level billing and collections.
- Train and mentor billing specialists, supporting their professional growth.
- Verify rates, review outside counsel guidelines, monitor fee caps and discounts, set alerts, and coordinate with the Billing & Intake Committee on adjustments.
- Oversee the full billing process from prebill to final submission, ensuring accuracy, timeliness, and compliance with client and attorney specifications.
- Work closely with eBilling Coordinators and Accounting Systems Administrators to set up electronic billing accounts, ensure accurate invoice submission, troubleshoot issues, and follow up on timely payments.
- Communicate directly with clients regarding billing and collection inquiries, follow up on outstanding payments, and provide necessary financial details.
- Respond to requests related to accruals, audits, and payment reports, analyzing trends and providing recommendations.
- Prepare monthly billing and collection forecasts, maintain updated prebill status reports, and track billing and collection metrics.
- Monitor unapplied cash and assist Accounts Receivable in ensuring accurate payment applications, keeping partners informed of available trust funds and applying funds as needed.
- Establish backup support processes, including cross-training and knowledge sharing, to ensure smooth portfolio management.
- Bachelor’s degree in accounting, finance, or business preferred, or equivalent experience.
- Previous experience in law firm billing required.
- Proficiency with financial management systems and advanced Excel reporting.
- Strong analytical skills and ability to assess financial data and anticipate outcomes.
