TOC is a well renowned orthopedic practice and has been in business for over 50 years with subspecialties in trauma, foot and ankle, spine, hand, adult reconstruction, pediatrics, pain management, and sports medicine. The practice is located strategically throughout North Florida and South Georgia with eight (8) regional offices and two (2) Tallahassee campuses. Ancillary endeavors include on site X-ray, MRI, Physical Therapy, Ambulatory Surgery Centers, Urgent Care Centers, and Orthotics and Prosthetics. TOC fields team physicians for Florida State University (FSU), Florida A&M University (FAMU), and Tallahassee Community College (TCC), as well as numerous area high schools.

We are currently seeking a Vice President of Operations , responsible for general operations at all locations and will lead and direct the Operations Leadership Team focused on our patients and their experience. The VPO translates vision, mission, values and strategy into operational excellence by building organizational infrastructure and maximizing services. In collaboration with the Board, CEO, the Operations Leadership Team, and general staff, this position acts as a facilitator, planner, developer, communicator and change agent to ensure initiatives are implemented and improved. The VPO is an exemplary model, for both staff and patients, for professionalism, compassion, accountability, respect, excellence and service.

Key Responsibilities Include :

Strategic / Leadership

  • Provides leadership and oversight to the operations management team to ensure efficiency, effectiveness and consistency of operations and service to patients.
  • Leads clinical / operational departments and systems that include clinical teams, administrative teams, ancillary teams, IT teams, and research.
  • Provides coaching, development and mentoring of operations leadership team.
  • Participates with CEO and Board in development of long-term strategic goals / plans.
  • Ensures all operational elements of the strategic plan are implemented, and targets, benchmarks, and ultimate outcomes are achieved.
  • In collaboration with the Board, CEO and CFO, develops clinical staffing ratios and workflow patterns for front and back-office staff, focusing on opportunities to maximize efficiencies.
  • Leverages technology at both the clinical and operational level that positions the Division Practices to lead the industry in effective patient care and operational excellence.
  • Identifies new business opportunities and implements strategies to capture new patient demographics.
  • Evaluates and implements new technologies and systems to enhance practice efficiency.

Clinical Operations

  • Analyzes systems and process improvement opportunities to increase and improve operational effectiveness.
  • Works collaboratively with providers and clinical leaders to ensure the efficient and effective daily operations of the clinical practices including staffing, patient management / throughput, policies and procedures, scheduling, ancillaries, specialty practices and referrals, etc.
  • Works collaboratively with senior leaders, department / functional leaders, providers, clinical and non-clinical staff to establish productive and collegial working relations, reduce conflict, and develop and implement policies and resources to increase job satisfaction and tenure and reduce turnover.
  • Oversees establishment of an environment of care / culture of safety (e.g., patient safety, engagement and satisfaction assessment, goal setting and plans for improvement.
  • Oversees the development and improvement of processes, procedures, systems and successful communication mechanisms to improve clinic efficiency and patient and staff satisfaction.
  • Implements new innovative systems and processes to improve efficiencies and support quality care.
  • Plans, organizes, and evaluates various projects, programs and services involving diverse administrative operations; oversees or manages specific projects, programs and / or service.
  • Serves as liaison with the community and participates in roundtables and taskforces to promote the Division Practices.
  • Prepares and presents regular reports of the status of operations the Operations Committee and Boards.
  • Ensures information is effectively communicated to all staff.
  • Develops and implements comprehensive business continuity strategies and plans to effectively prepare, respond to, and recover from disruptions or disasters.
  • Financial

  • Understands financial indicators / levels and delivers year over year improved financial performance.
  • Uses financial and productivity analysis to make decisions.
  • Monitors and analyzes key performance indicators (KPIs) to identify areas for improvement and implement necessary changes.
  • Collaboration

  • Partners with CEO and Human Resources in essential internal organizational leadership development as well as ensuring adequate workforce, to include teaching applicable leadership and customer service skills.
  • Partners with Finance to ensure budget variances are minimized and to align financial objectives and operational performance.
  • Coordinates with Marketing to align marketing strategies with operational capabilities.
  • Performs other responsibilities associated with this position as deemed appropriate.

  • Extensive knowledge of compliance and Healthcare regulations and guidelines, including medical terminology

  • Ability to listen, consider and assimilate input from a wide range of constituents, solid influencing skills, capable of building consensus.
  • The ability to effectively write reports, business correspondence and procedure manuals. Outstanding communication and interpersonal skills are essential
  • The ability to remain focused in the face of pressure, delivering against timeline limitations
  • Strong understanding of principles and practices of healthcare administration, business operations, fiscal / budgetary management, human resources management, asset management, revenue cycle, IT, regulatory compliance, customer service functions and third-party payer contracting
  • Strong understanding of Microsoft Office products, EPM, EHR, VOIP phone system, and PAC's
  • Exceptional independent, critical thinking skills and the ability to identify, analyze, and resolve operational issues
  • Ability to evaluate and make recommendations for continuous quality improvements
  • Ability to work in a fast-paced environment with a variety of personalities and work styles, including the ability to prioritize, manage and complete simultaneous tasks with frequent interruptions, while paying close attention to the details. Ability to work well under pressure with tight deadlines and with a sense of urgency.
  • Must be able to proficiently speak, read and write in English.

  • Credentials Desired :

    Minimum of Bachelor's degree with a focus on business and healthcare clinical related course work. Master's degree or equivalent experience preferred. At least five distinguished years in a senior management position in a physician practice. Six Sigma and Lean thinking a plus.
