The Behavioral Health Services Receptionist is responsible for answering the telephones, greeting patients/visitors, and relaying accurate messages to BHS staff. The BHS Receptionist requires excellent telephone technique, the ability to perform multiple office duties in an efficient and timely manner, coordinate an effective communication system, maintain a pleasant demeanor with clients, hospital and other professional staff, and demonstrate superior organizational skills.

Job Duties
- Answers telephones, documenting accurate message information.
- Handles referral calls for outpatient services; obtaining relevant information.
- Ability to screen calls for urgency and act appropriately.
- Interacts effectively with clients, visitors and staff.
- Responsible for accurately scheduling client appointments, clinician meetings, and other relevant schedule data.
- Appropriately schedules patients utilizing guidelines set forth by providers and BHS administration.
- Prepares daily schedule for Medical Records staff.
- Prepares new patient paperwork for those patients required to complete such.
- Explains forms to patients when they present for admission for outpatient services.
- Admits patients utilizing Affinity Registration.
- Logs patients in and out as appropriate charging for services on departure.
- Scans insurance or other information as needed.
- Contacts patients who do not show for appointments regarding intent to continue services.
- Contacts all psychiatric patients to confirm their appointment for the next day.
- Notifies Preauthorization / Precertification Specialist of changes in patient information.
- Distributes incoming and outgoing mail.
- Maintains petty cash funds.
- Maintains stamp funds.
- Contacts (by phone/letter) patients whose appointments need to be rescheduled due to conflicts in providers schedules.
- Conducts weekly stock inventory to assure that all necessary office and/or beverage supplies are available.
- Completes purchase order requests and obtains appropriate signature. Processes requests and maintains file of requests.
- Processes special request orders for staff.
- Assists providers/staff with copying documents.
- High school diploma or equivalent.
- Must be able to read, write, and speak the English language.
- The ability to use a micro-transcriber as well as accurately type fifty (50) words per minute utilizing word processing programs.
- Two years experience in a medical office setting working with confidential patient information/behavioral health information preferred.
- Must be able to work under supervision and independently, competently following orders professionally and confidentially.
- Must be able to work cooperatively and collaboratively with others.
- Must be able to communicate effectively with behavioral health clients and staff both verbally and in writing.
- Demonstrates legible penmanship.
- Demonstrates high standards of performance, pleasantness, and courtesy. Has professional appearance and demeanor.
- Demonstrates high quality telephone etiquette.
- Ability to use Windows based computer programs.
- Must be able to infrequently work irregular shifts and/or rotate shifts.
- Must be able to use independent problem solving techniques.
- Must be able to adjust to change and frequent interruptions; must be able to meet deadlines as required and to work in a fast-paced environment.
