GROUP SALES AND SERVICE COORDINATOR
SUMMARY
The GROUP SALES AND SERVICE COORDINATOR will help facilitate quick contact with sales prospects as an "inside sales coordinator". They will Provide back-up to all group sales managers with tours and sales proposals. The GROUP SALES AND SERVICE COORDINATOR will oversee assigned projects such as database maintenance, direct mail, social media research and telemarketing. This person will contribute to the smooth flow of front office workload by assisting in telephone coverage and handling administrative duties. This person will answer any questions and work to solve problems in a timely manner by partnering with the proper staff.
Provide back up to all group sales managers, including supporting setup, coordination, and takedown of group events and weddings.
Be knowledgeable and up to date on all amenities and services, discounts and promotional programs offered by Tamarack Resort
Type, edit and process documents, general correspondence, proposals and contracts for sales managers, as back-up to other staff
Track group leads to assist the marketing and group sales department in responding to requests timely and accurately.
Assist in checking lodging availability for groups, assist all group sales managers with client questions and needs
Assist in handling multiple phones lines and take accurate messages. Direct calls and handle calls directly whenever possible. Follow up with the appropriate sales manager/director
Complete spec sheets and BEOs on prospective groups and assigns sales managers for follow through
Operate as a sales representative, matching guests’ needs to the correct offering
May be required to attend trade shows to promote Tamarack Resort
Conduct site tours of Tamarack Resort to prospective group leaders and tour and travel agents
Coordinate with operational departments and staff prior to arrival date
Initiate and prepare proposals and handle any time sensitive requests for the Sales Department when a sales manager/director is not available
Coordinate billing accounts, accept payment, fulfill tickets
Provide excellent customer service to guests, property owners, homeowners, club members and fellow employees
Perform other duties and responsibilities as assigned

LANGUAGE SKILLS
Ability to read, analyze, and interpret financial reports, and legal documents. Ability to respond to common inquiries or complaints from clients, homeowners, or members of the business community. Ability to write Prepare and present proposals, contracts, and pricing packages to potential clients Ability to effectively present information to resort management, clients, and public groups.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Collaborate with resort management to set sales targets, budgets, and pricing strategies. Monitor expenses related to group sales efforts and ensured profitability. Maximize revenue through upselling and cross-selling resort amenities and services.
