The Role
We are looking for a highly organized and detail-oriented Collision Center Administrator to join our team and support the daily operations of our busy collision center. In this role, you will manage administrative tasks, assist with customer service, and ensure smooth communication between the collision repair team and customers. What You'll Do
- Customer Service: Serve as the main point of contact for customers in the collision center, answering inquiries, scheduling appointments, and ensuring a smooth repair process.
- Administrative Support: Manage paperwork, file claims, and maintain accurate records for each vehicle in the repair process, ensuring all documentation is up-to-date and in compliance with company policies.
- Parts Management: Assist in managing parts orders, track parts inventory, and ensure timely delivery for repair jobs.
- Estimate Coordination: Work closely with service advisors, insurance companies, and technicians to facilitate accurate and timely repair estimates.
- Scheduling and Workflow: Coordinate the daily workflow of the collision center by scheduling repairs, preparing work orders, and ensuring that repair jobs are completed on time.
- Billing and Invoicing: Handle billing and invoicing for completed repairs, working with insurance companies to ensure accurate and timely payments.
- Communication: Maintain clear and effective communication with customers regarding the status of their repairs, estimates, and any additional services needed.
- Team Collaboration: Assist the collision center manager and technicians in the smooth operation of the center, ensuring all administrative tasks are handled efficiently.
Qualifications

Experience
- Previous experience in an administrative or customer service role, preferably in an automotive or collision repair environment.
- Experience with insurance claims, repair estimates, and invoicing is a plus.
- Familiarity with collision center operations and terminology is helpful.

Skills
- Strong organizational and multitasking skills with the ability to handle multiple tasks simultaneously.
- Excellent communication skills, both verbal and written, to interact with customers, insurance companies, and the repair team.
- Proficiency in Microsoft Office and dealership management systems (DMS) or similar software.
- Strong attention to detail and accuracy in managing paperwork and documentation.
- A customer-focused attitude and the ability to handle customer concerns professionally.
