Position Summary
The Medical Records Specialist has responsibility for answering all incoming telephone calls to the center pertaining to the retrieval and filing of medical records; has responsibility for working tasks, completing chart corrections and updates to ensure patient chart accuracy, and minimizing vendor system rejections.
Essential Duties & Functions
- Answers and directs all incoming telephone calls received for medical records and monitors the telephone to ascertain that all calls are answered timely
- Schedules all medical records related appointments directly with the patient or by phone, as necessary
- Obtains proof of insurance and assures that appropriate insurance forms / cards are incorporated in the patient’s record, when missing or updating required
- Verifies patient records are accurate; all corrections to be faxed to the EMR vendor and input
- Forwards calls received by the answering service during off-line / down times to appropriate phone lines; returns calls received by the answering service in a timely, courteous manner the following day
- Assists co-workers in coding records, scanning, and filing of charts; helps ensure all records and contents are properly identified with name, record number and bar code
- Maintains the EMR vendor’s tasks and buckets, completing chart corrections, updates, scans, and handles phone calls to eliminate chart errors and system rejections
- Strictly adheres to all HIPAA, Tampa Family Health Center, Inc. (TFHC), state, federal and accreditation agency rules, regulations, and standards
- Interacts with vendors to supply patient data for transfer and / or submission to third parties
- Prioritizes workload to assist co-workers with high profile priorities
- Completes email requests for medical records assistance in a timely, courteous manner
- Supports the Mission, Visions, and Values of TFHC
- Maintains a clean and organized desk area, keeping patient data secure always
- Performs other duties, as assigned
- Shares with co-workers, knowledge gained from interactions with EMR vendor
