The Lighthouse for the Blind & Low Vision is currently seeking an Executive Administrative Assistant to provide high-level administrative support to the President & CEO. This position will also provide support to the Director of Major Gifts.
The Lighthouse for the Blind and Low Vision is a non-profit agency providing services in the Tampa Bay area for over 80 years. The Lighthouse serves anyone who has a visual impairment that prevents them from functioning normally in day-to-day activities, and provides opportunities to individuals irrespective of race, creed, gender, religion or economic status. Our programs include Early Intervention, Children's Programs, Transition Programs, Adult and Vocational Programs as well as Rehabilitation Engineering.
Key Responsibilities & Duties
- Provide high-level administrative support and assistance to the President & CEO; perform clerical and administrative tasks relating to the Board of Directors, Advisory Committees and Director of Major Gifts.
- Coordinate and schedule meetings for the Board of Directors, Advisory Committees and Lighthouse Staff. Record and distribute minutes or other records for Board and Staff meetings.
- Process invoices and routine records/correspondence; order supplies.
- Coordinate and provide tours and speaking requests.
- Assist the Director of Major Gifts with the execution and logistics for fundraising events; coordinating volunteers, requesting in-kind donations, mailings, follow-up with event participants and maintaining event spreadsheets. Responsible for direct mail fundraising system and working with vendors. Manage data entry, reporting and mailings for participants of all events.
- Prepare and process bank deposits jointly with the Director of Human Resources; maintain bank records.
- Provide support to the Front Desk Administrator, as needed.
- Perform other duties as assigned.
Skills
- High School diploma required; Bachelor's Degree in related field preferred.
- At least five years of related experience required.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to learn fundraising software that pertains to donor management.
- High proficiency working with Microsoft Office Suite with the ability to learn new or updated software and databases.
- Exemplary planning and time management skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize daily workload.
- High level verbal and written communications skills.
- Discretion and confidentiality.
- Excellent interpersonal and customer service skills.
Salary will be based on degree level and experience.
