SUMMARY: The Civil Process Department processes court papers involving judicial services, sheriff’s foreclosure sales, wage garnishments and enforcement of court orders on protective orders. Additionally, the Civil Process Department maintains accurate records of service, attempted service, and returns of service to the appropriate courts, billings and correspondence between outside agencies requiring TPSO civil service.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Civil Process Clerk II performs a variety of administrative and legal duties involving complex and detailed clerical responsibilities, as well as routine bookkeeping within the Civil Process Department. Exercises sound judgement, initiative, and interpretation of legal documents, civil law, internal policy and procedures are exercised while communicating in an effective and professional manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, however, are not limited to the following:
- Must be able to handle and coordinate multiple complex tasks at the same time.
- Proficiently operate various types of office equipment and software applications.
- Collect, post, and reconcile payments.
- Prepare and reconcile daily bank deposits.
- Disburse funds and make necessary financial data entries in accordance with judicial orders, internal controls, and policy.
- Assist in foreclosure property sales resulting in judicial orders from the Court in accordance with Louisiana Law including processing of writs, advertising, preparation of deeds and judicial bills of sales, obtaining mortgage certificates and appraisals, etc.
- Manage deadlines, scheduling and setting priorities in compliance with Louisiana laws and internal policies including but not limited to temporary restraining orders and foreclosure sales.
- Interpret, validate, and record various official and legal documents including service to defendants, appraisals, foreclosure orders and other judicial orders.
- Ensure completeness and accuracy of records.
- Communicate professionally and effectively with officials, attorneys, debtors, creditors, business professionals and staff.
- Maintain confidentiality, tact, courtesy and integrity with citizens and coworkers while under pressure and working as a team member.
- Ability to gain working knowledge of the provisions of Louisiana Civil Code that relate to the enforcement of judgements and service of legal documents.
- Other duties as directed by the supervisor.
SUPERVISORY RESPONSIBILITIES: This position has no supervisory authority.

EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) required; Two years’ work experience in legal environment or related field preferred; Training and education in a business, legal or closely related curriculum is highly desirable.
LANGUAGE SKILLS: Ability to read and interpret documents such as legal documents, operating and maintenance instructions, and procedure manuals. Ability to write reports and correspondence. Ability to communicate effectively to customers or employees of the organization.
MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
COMPUTER SKILLS: Intermediate personal computer skills, including word processing, e-mail, spreadsheets, etc.
REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions and legal orders furnished in written, oral, diagram, or schedule form.
