Responsibilities
Administrative Support
Manage calendars and schedules for two executives (the founder and head of Business / Finance / Legal / Operations).
Provide general support through following up, prepping for the next day and giving notice on any information that may be helpful down the line.
Cover phones for principals and the main company line
Process expense reports for both executives.
Coordinate domestic and international travel arrangements.
Business, Finance & Legal Support
Organize project files (business and creative) on Dropbox and other databases, ensuring consistent naming conventions and structured filing
Track invoices, manage payments, and update / maintain financial spreadsheets
Provide general business affairs support (e.g., tracking legal documents, coordinating signatures).
Office Management
Oversee office management – tasks include ordering / restocking office supplies (snacks / supplies / equipment), watering plants – all to ensure a functional workspace.
Take meeting notes as requested and distribute summaries
Compile festival and other industry-related updates to keep executives informed.
Assist with planning and coordinating company events.
Optional / Secondary Tasks
As time permits, assist with coverage of scripts, stories, and books (this will be secondary to the core responsibilities).
Qualifications & Attributes
Genuine interest in independent film financing, legal, and production operations
Positive mentality and “can-do” attitude
Curiosity and willingness to learn how individual film elements intersect within a production company
Exceptional verbal and written communication skills
Proven ability to multi-task, prioritize tasks, and maintain keen attention to detail
Proficiency with Microsoft Excel (or Google Sheets) and collaboration tools (e.g., Dropbox)
Strong sense of urgency, self-starter mentality, and excellent follow-through—paired with the intuition to anticipate next steps
