The Role: The Production Office Assistant provides essential administrative support for Internal Farm and Farm Support Services, ensuring accurate record-keeping, compliance, and efficient office operations. This role requires strong attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced agricultural environment.
Location(s): Salinas, CA
Areas of Responsibility:
- Accurately code and enter invoices for Farm Support and Salinas Internal Farm operations.
- Prepare and process use reports to meet county compliance requirements.
- Track and maintain chemical inventory, including purchases and usage.
- Handle billing and grower filing related to spray recommendations.
- Code and process PG&E invoices for farming deals.
- Update and maintain Hazardous Material Binders and County Binders in HR and the Salinas Farm office.
- Maintain safety records for employees upon completion of safety training classes.
- Cross-check labor and hoe-thin invoices against planted acreage records.
- Perform data entry for seed trials, based on information provided by growers.
- Collect and organize water irrigation usage data for periodic reviews.
- Provide administrative support to production personnel and Salinas internal farm teams, including report preparation, document copies, and other tasks as needed.
- Order office supplies and coordinate repairs for office equipment.
- Assist with various reports and other administrative duties as assigned.
Preferred Qualifications:
- High school diploma or GED required.
- Minimum of two years of office support experience, preferably in an agricultural or related field.
- Proficiency in Microsoft Office (Excel, Access, Word); experience with Agrian (Telus Agriculture) and ERP systems (JDE Enterprise One) is a plus.
- Strong ability to prioritize tasks and manage multiple responsibilities efficiently.
- Capable of working both independently and collaboratively in a team environment.
