About the Role:
We are seeking a highly organized and proactive Sales Coordinator to support our international sales team and streamline global sales operations. This role will be instrumental in managing sales team calendars, securing customer and prospect appointments, and ensuring seamless coordination throughout the sales cycle. The ideal candidate will have experience in international sales coordination, particularly in the US, EU and LATAM markets, and possess strong administrative skills to support sales operations efficiently.
Key Responsibilities:
Sales Team Coordination & Calendar Management
- Proactively manage sales team calendars, scheduling meetings, customer appointments, and follow-ups across multiple time zones.
- Secure and coordinate meetings with potential and existing clients throughout the sales cycle.
- Arrange logistics for sales team travel, trade shows, and customer visits, ensuring alignment with key sales objectives.
- Track and communicate key deadlines, customer commitments, and sales deliverables to ensure all team members stay on schedule.
Administrative & Sales Operations Support
- Maintain and update sales records, CRM databases (HubSpot), and sales reports.
- Prepare sales presentations, reports, and other materials needed for client meetings.
- Assist in tracking sales performance metrics and provide data-driven insights to sales leadership.
- Handle administrative tasks, including expense reporting, document preparation, and coordinating internal approvals for sales-related activities.
- Support the sales team with customer correspondence, ensuring timely responses to inquiries, proposals, and contract negotiations.
Process Improvement & Customer Engagement
- Continuously improve sales processes, enhancing team efficiency and customer experience.
- Track customer interactions and follow up on outstanding proposals, negotiations, and pending action items.
- Coordinate with marketing to ensure sales teams have the necessary promotional materials and insights for customer meetings.
Qualifications & Requirements:
- 4 years of experience in a sales coordination, executive support, or international business role, preferably within a global sales environment.
- Strong organizational and multitasking skills with the ability to manage multiple calendars and scheduling tasks across time zones.
- Experience supporting international sales, particularly in EU and LATAM markets.
- Knowledge of CRM systems (Salesforce, HubSpot, or similar) and ERP systems for sales tracking.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook) and other sales management tools.
- Strong interpersonal and communication skills to interact with clients, executives, and global teams professionally.
- Ability to work independently, prioritize tasks, and adapt to fast-paced sales environments.
- Fluency in Spanish and/or Portuguese is a plus.
Working Conditions
Work is performed inside a flex space building consisting of offices, open desk space, laboratory, machine shop, and a manufacturing floor. Level of noise is usually quiet in the office environment and temperature controlled. Noise levels are elevated in the warehouse space where temperatures can vary depending on the outside elements and weather. Travel may be required, including up to 2-8 trips per year to visit suppliers, attend conferences, meetings (customer, investor, and business) and customer sites (hatcheries).
