Overview
Targeted Victory is looking for a proactive and highly organized Executive Assistant to provide comprehensivesupport to our executive leadership team. This role requires exceptional attention to detail, strong communicationskills, and the ability to manage complex schedules, travel arrangements, and high-level meetings.
Responsibilities
- Provide high-level administrative support to the executive team, including scheduling, calendar management, and logistical coordination.
- Manage complex scheduling and travel arrangements for meetings, conferences, and events—ensuring seamless coordination with internal and external stakeholders.
- Prepare for meetings by developing agendas, gathering materials, and ensuring effective follow-up on action items, including drafting thank-you notes or other correspondence.
- Research, recommend, and book venues for executive dinners and events.
- Handle day-to-day tasks, such as arranging meals and providing on-the-ground support during high-demand times.
- Anticipate the needs of the executive team and proactively offer solutions to ensure smooth daily operations.
- Provide occasional support for business development efforts, such as coordinating meetings and assisting with preparation of materials.
Qualifications
- High school diploma or bachelor’s degree in administration or related field
- Ability to multitask, manage time efficiently and prioritize tasks as needed
- Proven experience as an Executive Assistant or in a similar high-level administrative role
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Strong attention to detail, particularly when managing schedules, logistics, and follow-ups.
- Excellent written and verbal communication skills; comfortable drafting professional correspondence, including follow-ups and thank-you notes.
- Proficiency in calendar management tools and travel booking platforms (Google Workspace, Microsoft Office, etc.).
- High level of discretion and confidentiality in handling sensitive information.
- Proactive mindset with a service-oriented approach—willing to handle both strategic tasks and day-to-day needs.
